As a Logistics Coordinator, you’ll play a central role in keeping our supply chain and fleet operations running at peak performance — from the moment an order is placed through final delivery. You’ll own carrier relationships, driver dispatch, route planning, and fleet readiness while collaborating across customer service, operations, sales, and accounting to ensure every shipment meets compliance standards and customer expectations.
Position summary
The Logistics Coordinator is responsible for managing end-to-end freight and transportation operations, including carrier vetting, driver dispatch, route optimization, load board management, and fleet maintenance scheduling. This role provides exceptional customer service, supports sales and operations teams, and ensures the timely, cost-effective, and compliant movement of goods. Success in this position requires strong analytical skills, hands-on transportation experience, and working knowledge of DOT/FMCSA regulations.
Essential duties and responsibilities
Carrier Management & Procurement
- Vet, qualify, and onboard carriers in compliance with DOT, FMCSA, and company insurance requirements
- Monitor carrier safety scores, insurance certificates, and operating authority to ensure ongoing compliance
- Source available capacity through load boards (e.g., DAT, Truckstop.com) to fulfill shipment needs
- Negotiate spot and contract freight rates with carriers to optimize cost and service levels
- Audit and approve carrier invoices; identify and resolve billing discrepancies and overcharges
Dispatch & Route Management
- Dispatch company drivers and third-party carriers for daily pickups, deliveries, and special shipments
- Create, optimize, and adjust delivery routes to maximize efficiency, minimize cost, and meet customer time windows
- Monitor driver locations and load progress in real time; proactively communicate status updates to customers and operations
- Expedite and trace shipments; coordinate resolution of delays, breakdowns, or route changes
- Arrange specialized truck transportation for TechRenew and other time-sensitive or high-value shipments
Driver & Fleet Management
- Serve as the primary point of contact for drivers; provide clear daily assignments, instructions, and support
- Monitor driver Hours of Service (HOS) logs to ensure DOT compliance; address violations promptly
- Coordinate pre-trip and post-trip vehicle inspection processes in accordance with FMCSA regulations
- Schedule and track preventive and corrective fleet maintenance to maximize vehicle uptime and safety
- Maintain accurate fleet records including vehicle registrations, permits, inspection logs, and maintenance history
Customer Service
- Receive, process, and schedule customer orders accurately and in a timely manner
- Coordinate company truck dispatch and customer delivery logistics
- Resolve customer service issues and freight-related problems with a solutions-focused approach
Sales Support
- Provide accurate freight quotes for customer proposals and RFPs, incorporating current market rates
- Coordinate special transportation services to support sales initiatives
- Onboard and educate new associates on logistics processes, systems, and compliance requirements
Accounting Support
- Provide accurate freight charges to the accounting team for billing and reconciliation
- Supply documentation and supporting information as needed for accounts payable and receivable
- Conduct freight cost analyses and generate management reports as needed
Strategic Planning
- Stay current on trends, regulatory changes, and best practices in transportation and logistics
- Participate in cross-departmental brainstorming to identify opportunities for process improvement and cost reduction
- Consult with the Operations Management Team on logistics challenges and continuous improvement initiatives
Qualifications
Required
- Bachelor’s degree in Logistics, Supply Chain, Business, or a related field — or equivalent combination of education and experience
- 3–5 years of hands-on experience in a transportation, freight brokerage, or fleet operations environment
- Demonstrated experience of vetting and onboarding carriers; familiarity with FMCSA safety compliance requirements
- Proven experience dispatching drivers and managing daily route assignments
- Experience building and optimizing delivery routes using routing software or TMS platforms
- Working knowledge of load boards (DAT, Truckstop.com, or equivalent) for capacity sourcing
- Familiarity with DOT Hours of Service (HOS) rules and driver log compliance
- Experience coordinating fleet maintenance schedules and vehicle compliance records
- Working knowledge of Federal, State, and Local transportation laws, regulations, and permit requirements
- Strong verbal and written communication skills
- Excellent time management, organizational, and planning skills
- Proficiency in Microsoft Office applications
- Ability to work independently, prioritize tasks, and meet multiple competing deadlines
- Collaborative team player with a customer-first mindset
Preferred
- Experience with a Transportation Management System (TMS) such as McLeod, TMW, or similar
- Background in freight brokerage or asset-based carrier operations
- Familiarity with ELD (Electronic Logging Device) platforms
- Experience with TechRenew or reverse logistics / asset recovery operations
- Knowledge of FMCSA carrier safety ratings and CSA scoring
- Experience in a cross-functional, fast-paced distribution or 3PL environment
