Full Job Description

Lancaster Recreation Commission is seeking a full-time Childcare Program Coordinator to support our early childhood and school-age childcare programs. This position plays a key role in coordinating enrollment, supporting program staff, and helping families access high-quality childcare services across Lancaster Rec programs.

Position Snapshot

Full-Time Hourly Position
$19–$22 per hour
Monday–Friday schedule (with occasional evenings)
Work with early childhood and school-age programs
Administrative + program support role

Key Responsibilities

Provide administrative and operational support for Lancaster Rec childcare programs
Manage enrollment applications and maintain accurate student records
Communicate with families regarding tuition, billing, and account balances
Support billing and payment processing with administrative staff
Assist outreach efforts to maintain full program enrollment
Coordinate supplies, materials, and resources for program sites
Support budget tracking, supply ordering, and food program documentation
Coordinate resources and logistical support for childcare staff

Essential Duties

Provide administrative and clerical support to ensure smooth program operations
Support enrollment processes, conduct family tours, and collect required documentation
Submit attendance and required reports in state reporting systems
Ensure meal program documentation and daily reports are completed
Maintain records including accident, incident, and behavior reports
Assist with planning and enrollment for summer camp and preschool programs
Connect families with community resources such as health care, housing, and food assistance
Oversee distribution and inventory of educational and recreational materials
Represent Lancaster Rec at community outreach events and partnership meetings
Assist with staffing coverage at program sites when necessary to maintain required staff-to-child ratios
Follow mandated reporting procedures regarding child safety and welfare concerns

QualificationsRequired

High school diploma or equivalent
Minimum 2 years of experience in childcare, early childhood education, or youth programming
Experience supporting administrative or program operations
Valid driver’s license
Ability to obtain required background clearances

Preferred

Associate’s or Bachelor’s degree in Education or related field
Experience with early childhood systems such as Pelican, Keystone STARS, or Work Sampling Online
Knowledge of Pennsylvania DHS childcare regulations
Bilingual Spanish skills

Skills & Competencies

Strong organizational and administrative skills
Ability to manage multiple priorities and deadlines
Strong communication skills with families, staff, and community partners
Knowledge of early childhood development and school-age care
Ability to work effectively in a diverse and multilingual community
Strong collaboration and relationship-building skills
Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)

Working Conditions

Travel between childcare program sites within Lancaster may be required
Occasional early morning, evening, or holiday hours
Ability to lift up to 25 lbs and remain active for extended periods
