Vision Consultant

GulfCoast Eye Care | Full-Time, In-Office

About the Role

We're not looking for someone to just "coordinate." We're looking for someone who can connect with patients, understand their hesitations, and guide them from "I need to think about it" to a confident decision.

At GulfCoast Eye Care, you'll own your own pipeline from first contact through close, with clear goals, clear metrics, and real recognition when you hit them. What You'll Do

Consult & Convert: This is the core of the role. You'll meet patients right when they're deciding whether to move forward, and you'll play a key role in that decision.

Respond promptly to phone, email, and in-person inquiries, following up quickly to maintain momentum

Present vision solutions, procedures, pricing, and financing options with clarity and confidence

Work through patient questions, concerns, and objections with empathy and persistence

Maintain CRM entries and manage a consistent follow-up cadence with prospective patients

Track and report on conversion rates and pipeline activity

Run the Surgical Pipeline: Once someone's in, you make sure nothing falls through the cracks.

Meet with patients after provider consultations to move surgical planning forward

Schedule surgeries and all associated pre-op/post-op appointments

Coordinate with surgical centers, referring optometrists, and transportation services

Prepare surgical packets, lens orders, consent forms, and post-op kits

Send H&P requests and verify all documentation is complete ahead of surgery

Guide patients through premium lens options, like multifocal, toric, EDOF, and Light Adjustable Lens, so they understand exactly what they're choosing

Review upcoming surgery schedules (4+ weeks out) to confirm provider visits, testing, lens orders, consents, payments, and authorizations are on track

Ensure charts and documentation are submitted to the surgical center on schedule

Support the Clinical Side: Patients trust you with a significant decision in part because you understand the clinical aspects of what you're offering.

Support pre-operative preparation and clinical workflows alongside the care team

Review diagnostic testing results and discuss findings with the provider

Educate patients on procedure details, lens technology, and what to expect before and after surgery

Keep records accurate and compliant with HIPAA and practice documentation standards

Manage inventory related to surgical preparation

This part of the role isn't the most visible, but it's what builds the credibility behind every conversation.

Close the Deal: Collect payments, set up financing, work with billing on authorizations.

Collect copays and surgical/premium lens fees in advance, and arrange financing when needed

Collaborate with billing on authorizations, documentation, and collections

Complete post-op follow-up calls, document outcomes, and re-engage prospective patients through the CRM

Track Performance: Track conversion, cancellations, and scheduling efficiency. Identify patterns and bring ideas to leadership.

Analyze KPIs including conversion rates, cancellations, and scheduling efficiency

Identify workflow improvements and opportunities to grow conversion and patient volume

Communicate recommendations on training or process adjustments to leadership

Support practice marketing, vendor relationships, and referral partnerships

Lead by Example: Support your fellow coordinators, cover when needed, and help build a team that performs at a high level without burning out.

Guide and support fellow coordinators, modeling high-performance behavior

Provide coverage for other coordinators as needed

Communicate workflow updates clearly and constructively

Identify skills gaps and partner with management on training needs

Advocate for process improvements and best practices across the team

What You Bring

Proven success meeting and exceeding goals in sales, consultative selling, or high-stakes client coordination

Confidence discussing pricing on a major purchase, backed by prior experience doing so

Reliable follow-up habits that keep leads engaged

Strong organizational skills to manage a pipeline with many moving pieces at once

Healthcare or medical sales experience is a plus, though not required

Willingness to learn clinical and procedural terminology well enough to explain it clearly to patients

Requirements

2+ years in consultative sales, high-ticket sales, or client-facing coordination

Associate's degree or equivalent experience

Comfortable with CRM systems (EMR experience a nice-to-have)

Full-time, in-office, with ability to travel across practice locations

Strong written and verbal communication skills
