Full Job Description

Position Overview
The Royal Ballroom, a premier event venue, seeks a detail-oriented and organized professional to serve as a Part-Time Administrative Assistant. This essential role supports the booking, coordination, and monitoring of events to deliver exceptional experiences for clients and guests. The Administrative Assistant collaborates with all departments and reports directly to the Senior Event Manager.

As The Royal Ballroom’s premier event venue, we are committed to delivering exceptional and memorable experiences for our guests through excellence in service, amenities, and venue management. Our dedicated team of professionals upholds the highest standards in every aspect of operations.

Key Responsibilities

Coordinate and oversee all open house events and related activities.
Liaise with vendors to obtain and confirm pricing, and present options to clients.
Prepare, print, and procure signage and supplies for special events.
Develop detailed and accurate event plans, diagrams, and layouts, and distribute them to relevant departments.
Conduct venue tours for clients and facilitate pre- and post-event meetings.
Oversee events to ensure adherence to established policies and procedures.
Maintain and update the client policy and procedure guide.
Provide administrative support to the Marketing and Sales Department as required.
Participate in departmental, company, industry, and trade-related professional organizations and training programs.
Perform other related duties as assigned.

Qualifications

Education and Experience

Associate degree in hospitality, business administration, or a related field, or equivalent professional experience.
Minimum of two (2) years of experience in event coordination, hospitality, or a related field.
Experience in a high-volume event venue is preferred.
Proficiency with event planning software (e.g., Ungerboeck or Social Tables) is preferred.
At least one (1) year of prior administrative experience is required.

Advanced computer proficiency and the capacity to learn new software applications quickly.
Exceptional attention to detail and a commitment to accuracy.
Excellent written communication skills, including the preparation of reports, business correspondence, and procedure manuals.
Superior verbal communication and presentation skills, with the ability to interact effectively with managers, clients, customers, and the public.
Strong analytical and problem-solving abilities, including troubleshooting, data collection, and drawing valid conclusions.
Ability to read, analyze, and interpret business periodicals, professional journals, technical procedures, and government regulations.
Proficiency in performing mathematical calculations such as discounts, interest, proportions, percentages, area, circumference, and volume.
Demonstrated ability to manage multiple tasks and shifting priorities in a fast-paced environment.
Capacity to perform effectively in high-stress, high-volume situations while maintaining professionalism.
Flexibility to adapt to changing workloads and priorities.
Ability to assess competing demands, identify necessary resources, and address critical work requirements.
Capability to read, understand, and execute both simple and detailed written or verbal instructions.

Physical Requirements
This position involves light physical activity and is primarily administrative. The physical demands described are representative of those required to perform the essential functions of the role successfully:

Frequent sitting, use of hands and fingers, talking, and hearing.
Frequent standing and walking.
Occasional bending, stooping, kneeling, twisting, reaching, and use of ladders, stools, or stairs.
Occasional lifting, pushing, or pulling of up to 50 pounds.
Occasional travel may be required.
