Full Job Description

About the Role

Eastside Animal Hospital is seeking an experienced, organized, and highly accountable Veterinary Practice Manager to lead the daily operations of our veterinary hospital.

This is a hands-on leadership position responsible for ensuring the hospital operates efficiently, delivers an exceptional client experience, supports a positive and productive workplace, and meets its operational and financial goals.

The ideal candidate is a confident people leader who can establish clear expectations, hold employees accountable, solve problems quickly, and create systems that improve hospital performance.

Key Responsibilities

Hospital Operations

Oversee the hospital’s daily operations and ensure the facility is properly staffed, organized, clean, safe, and prepared for each business day.

Maintain efficient patient, client, and workflow processes throughout the hospital.

Ensure hospital opening, closing, payment, deposit, inventory, and end-of-day procedures are completed correctly.

Identify operational problems and implement practical, lasting solutions.

Maintain hospital equipment, supplies, service contracts, and facility repair needs.

Coordinate with leadership and outside vendors when repairs, maintenance, or operational support are required.

Team Leadership and Accountability

Lead, support, and hold accountable veterinary technicians, assistants, client service representatives, and other hospital employees.

Establish clear performance expectations and ensure employees consistently follow hospital policies and procedures.

Conduct regular team meetings, coaching conversations, performance evaluations, and corrective-action discussions.

Address attendance, professionalism, communication, teamwork, and performance concerns promptly and consistently.

Promote a respectful, productive, and solutions-focused workplace culture.

Recognize strong performance and support employee development and advancement.

Staffing and Scheduling

Build and maintain employee schedules based on hospital needs, patient demand, staffing levels, and labor targets.

Manage call-outs, shift coverage, schedule changes, time-off requests, and staffing shortages.

Monitor overtime, attendance, punctuality, and timekeeping compliance.

Participate in recruiting, interviewing, hiring, onboarding, training, and employee retention.

Ensure new employees complete all required training and competency sign-offs.

Client Service

Maintain a consistently high standard of client communication and service.

Ensure calls, emails, text messages, appointment requests, and client concerns are handled professionally and promptly.

Resolve escalated client complaints fairly and effectively.

Monitor appointment availability, scheduling accuracy, client wait times, and front-desk performance.

Support efforts to increase new-client acquisition, client retention, appointment compliance, and follow-up care.

Monitor online reviews and work with leadership to address service concerns and improve client satisfaction.

Financial and Performance Management

Monitor hospital performance against established revenue, labor, expense, productivity, and service goals.

Review hospital reports and key performance indicators regularly.

Help ensure appropriate staffing levels and labor spending based on hospital revenue and workload.

Monitor missed charges, discounts, payment collection, refunds, deposits, and financial-control procedures.

Support inventory controls and work to reduce waste, shrinkage, expired products, and unnecessary spending.

Provide leadership with clear reporting regarding hospital performance, staffing concerns, operational risks, and corrective actions.

Key Performance Indicators

The Practice Manager will be expected to monitor and improve performance in areas including:

Hospital revenue and revenue growth

Labor cost as a percentage of revenue

Overtime and schedule efficiency

Appointment volume and schedule utilization

New-client growth

Client retention and rebooking

Average client transaction

Missed calls and client-response times

Appointment confirmations and no-show rates

Online review ratings and client satisfaction

Inventory control and cost of goods

Staff attendance and punctuality

Employee turnover and retention

Training completion and competency

Accuracy of payments, deposits, and end-of-day procedures

Compliance and Standards

Ensure compliance with hospital policies, employment procedures, workplace safety requirements, and applicable veterinary regulations.

Maintain accurate employee, training, incident, inventory, and operational records.

Support OSHA, controlled-substance, radiation-safety, sanitation, and workplace-safety requirements.

Protect client, patient, employee, and hospital confidentiality.

Ensure hospital policies are applied consistently and professionally.

Qualifications

At least two years of management or supervisory experience in a veterinary hospital, medical practice, dental office, or comparable service-based healthcare environment.

Veterinary practice-management experience is strongly preferred.

Demonstrated experience managing employees, schedules, attendance, performance, and workplace conflict.

Strong understanding of client service and service recovery.

Ability to read and interpret operational and financial reports.

Comfortable using practice-management software, scheduling systems, spreadsheets, email, and other business technology.

Excellent written and verbal communication skills.

Strong organizational, decision-making, and problem-solving abilities.

Ability to manage competing priorities in a fast-paced environment.

Willingness to work occasional evenings, weekends, or additional hours when hospital needs require it.

Physical Requirements

This position requires the ability to remain active throughout the workday, move throughout the hospital, use computers and office equipment, communicate with clients and employees, and occasionally lift or assist with supplies or equipment weighing up to approximately 40 pounds.

Pay: $24.00 - $27.00 per hour
