Overview

Gast Homes is an established new-construction home builder with more than 30 years of experience. We are seeking a dependable, organized, and resourceful Office Administrative Assistant / Receptionist to support the owner and help manage the daily operations of our residential construction company.

This position combines receptionist duties, appointment scheduling, customer follow-up, administrative support, and a variety of construction-related office tasks. The ideal candidate is professional, detail-oriented, comfortable working from changing to-do lists, and able to follow tasks through to completion without repeated reminders.

Responsibilities

Answer incoming calls and respond professionally to customer inquiries.
Gather basic information from new construction leads and schedule appointments.
Greet visitors and maintain a professional, organized office environment.
Manage calendars, reminders, follow-ups, and daily to-do lists.
Contact building departments, utility providers, vendors, subcontractors, and other agencies to obtain project information.
Assist with permit applications, document collection, status checks, and follow-up.
Prepare and send emails, letters, forms, checklists, and basic project documents.
Organize customer, project, permit, vendor, and office records.
Perform accurate data entry using Microsoft Office and online software platforms.
Follow up on outstanding information and help ensure important tasks are completed on time.
Assist with basic bookkeeping or QuickBooks tasks when qualified.
Order office supplies and help maintain an organized workplace.
Complete miscellaneous administrative tasks related to the daily operation of a construction company.
Handle customer and company information with discretion and confidentiality.

Qualifications

Previous administrative assistant, receptionist, office coordinator, or customer service experience.
Strong organizational, communication, and follow-up skills.
Professional phone and email etiquette.
Proficiency with Microsoft Word, Excel, Outlook, and general computer use.
Ability to manage multiple assignments and changing priorities.
Strong attention to detail and accurate data-entry skills.
Dependable, punctual, and comfortable working independently.
Ability to follow detailed instructions while taking ownership of assigned tasks.
Construction, permitting, real estate, property management, architecture, or engineering office experience is helpful but not required.

Preferred Skills

Applicants with any of the following experience will receive additional consideration:

QuickBooks or bookkeeping
Construction permitting or building department procedures
Photoshop, Canva, or graphic editing
CAD, architectural drafting, or construction rendering
CRM or project-management software
Working directly with a business owner or company manager

We are looking for someone who enjoys creating order, solving problems, communicating with customers, and helping improve the daily operation of a growing company.

Pay: $20.00 - $25.00 per hour
