Drive Operational Excellence and Build High-Performing Teams

At Service Minds, we believe exceptional customer experiences start with exceptional operations. We are seeking an experienced Operations Coordinator to support the daily success of our One Hour Heating & Air Conditioning branch.

This role is responsible for helping drive operational performance, supporting technician success, improving processes, and ensuring our teams have the resources and guidance needed to deliver outstanding service to our customers.

The Operations Coordinator partners closely with branch leadership, technicians, dispatch, and support teams to improve efficiency, maintain company standards, and create a culture focused on safety, accountability, and continuous improvement.

What You'll Do

Support Daily Branch Operations

Help ensure field operations run efficiently by providing hands-on operational support and leadership.

Responsibilities include:

Coordinate daily service, maintenance, and installation operations to support productivity and customer commitments
Partner with dispatch to optimize scheduling, routing, and technician assignments
Assist with workload planning, technician coverage, and operational priorities
Ensure company processes, SOPs, and brand standards are consistently followed
Identify operational challenges and work with leadership to develop effective solutions

Develop and Support Field Teams

Great teams are built through strong leadership, coaching, and support.

You will:

Provide coaching and guidance to technicians, installers, and field supervisors
Conduct ride-alongs, job site visits, and quality evaluations
Provide feedback focused on technical performance, customer experience, and operational standards
Support team meetings, training initiatives, and ongoing development opportunities
Partner with leadership and HR on hiring, onboarding, employee development, and performance management

Improve Performance and Drive Results

Help identify opportunities to improve efficiency, quality, and overall branch performance.

You will:

Monitor key performance indicators including productivity, job completion times, callbacks, and quality metrics
Review service documentation to ensure accuracy and consistency
Analyze operational trends and recommend process improvements
Support branch goals related to revenue growth, efficiency, and customer satisfaction
Help create accountability around operational expectations and performance standards

Champion Safety and Compliance

Safety is a priority in everything we do.

You will:

Promote a strong safety-first culture throughout field operations
Ensure compliance with OSHA standards and company safety policies
Conduct safety observations and job site evaluations
Support incident investigations and corrective action follow-up
Assist with maintaining licensing, permitting, and code compliance requirements

Deliver an Exceptional Customer Experience

Our customers expect reliable, professional service every time.

You will:

Support resolution of customer concerns and service escalations
Help identify opportunities to improve customer satisfaction
Monitor callbacks, warranty issues, and rework trends
Ensure technicians are equipped to deliver a consistent 5-star customer experience
Reinforce quality standards from dispatch through job completion

Support Operational Excellence

Help maintain the systems, resources, and processes needed for successful branch operations.

Responsibilities include:

Partner with warehouse and operations teams to support inventory and material availability
Assist with fleet readiness and equipment standards
Support vendor coordination and operational needs
Ensure technicians have the tools and resources necessary to complete jobs successfully
Assist leadership with branch initiatives and operational projects

What You Bring

10+ years of experience in HVAC or a related skilled trade
Experience leading, mentoring, or supporting field teams
Strong knowledge of residential HVAC service, maintenance, and installation processes
Understanding of local codes, permitting requirements, and safety standards
Proven ability to improve operational performance and support business goals
Strong communication, organization, and problem-solving skills
Ability to build relationships while holding teams accountable
Proficiency with Microsoft Office; ServiceTitan experience preferred
Valid driver's license with a clean driving record
