Full Job Description

Hawthorne Oncology Pain Experts (HOPE) is seeking a driven, experienced Medical Front Desk Receptionist to join our growing clinical team. This is more than a front desk role — you will be the first point of contact for patients navigating some of the most challenging moments of their lives, and your expertise, warmth, and professionalism will set the tone for their entire experience with us.

At HOPE, our mission is to meaningfully restore quality of life for patients living with cancer pain, complex chronic pain, or spasticity. We are building a team of passionate, dedicated professionals who share our commitment to compassionate, collaborative, and innovative care. If you are someone who takes pride in running a flawless front office, knows the ins and outs of insurance and authorizations, and thrives in a fast-paced specialty practice, we want to hear from you.

Qualifications

Extensive medical office front desk experience required — this role demands a seasoned professional who can hit the ground running
Minimum of 2 years of hands-on experience with Athena One (athenahealth) — required, no exceptions
Bilingual fluency in English and Spanish required — the ability to communicate with our Spanish-speaking patients with clarity and compassion is essential
Deep understanding of medical insurance, including eligibility verification, prior authorizations, referrals, and billing codes
Proven ability to manage a busy front desk with accuracy, efficiency, and grace under pressure
Strong knowledge of medical billing practices and the ability to identify and resolve insurance-related issues proactively
Proficiency in Microsoft Office
High school diploma or GED required; additional medical administrative training or certification is a plus
Exceptional communication skills, a collaborative spirit, and a genuine passion for patient care

Responsibilities

Be the face of HOPE — greet every patient with warmth, professionalism, and a commitment to delivering a 5-star experience from the moment they walk through our doors
Manage a high-volume, multi-line phone system with confidence, triaging calls and ensuring timely follow-up for patients, clinical staff, and referring providers
Perform seamless patient check-ins and check-outs, including collecting co-pays, co-insurance, and deductibles, and verifying and updating patient information
Accurately collect, enter, and maintain insurance information in Athena One, ensuring data integrity across all patient records
Own the authorization and referral process from start to finish — obtaining, tracking, and following up on prior authorizations and referrals that are critical to billing and patient care
Assist in covering HOPE's Cancer Care and Hospital line during business hours, obtaining pertinent patient information and routing messages to the appropriate clinical team member
Organize and manage incoming faxes, process medical records releases, and maintain thorough documentation within the EMR
Identify opportunities to improve front office workflows and patient experience, and take initiative in leading those improvements
Ensure all front office operations remain compliant with federal, state, and accredited body regulations
Draft and update standard operating procedures for patient experience and front office responsibilities as needed
