Job Summary
We are seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure a smooth, efficient workplace environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. This role offers an exciting opportunity to oversee daily office functions, support team members, and enhance overall office productivity. As an Office Manager, you will be the central point of contact for administrative tasks, manage office systems, and foster a welcoming atmosphere for staff and visitors alike.

Duties

Manage front desk operations, including greeting visitors, handling inquiries, and maintaining a professional reception area
Oversee multi-line phone systems to ensure prompt and courteous customer support and internal communication
Maintain organized filing systems, data entry processes, and accurate record-keeping using tools like Microsoft Office and Google Workspace
Coordinate calendar management, scheduling appointments, meetings, and events for staff and executives
Perform clerical duties such as proofreading documents, preparing reports, and managing correspondence with excellent attention to detail
Support bookkeeping activities using QuickBooks or similar accounting software to handle invoices, expenses, and financial records
Assist with office management tasks including supply inventory, vendor relations, and facility maintenance

Requirements

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy
Excellent phone etiquette with experience managing multi-line phone systems and providing exceptional customer service
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Prior clerical experience including data entry, filing, proofreading, and calendar management is essential
Knowledge of QuickBooks or bookkeeping experience is a plus
Strong time management skills with the ability to prioritize tasks efficiently
Personal assistant or medical/dental receptionist experience is advantageous for understanding client-facing roles
Ability to handle confidential information discreetly while maintaining professionalism at all times
