Medical Assistant Care Coordinator

American Urgent Care & Primary Centers

Position Overview

American Urgent Care & Primary Centers is seeking a dependable, organized, and patient-focused Medical Assistant Care Coordinator to join our clinic team. This is a hands-on, multi-role position ideal for someone who enjoys both direct patient care and front office responsibilities.

The ideal candidate must be bilingual in Spanish and English and comfortable assisting patients from the moment they arrive until they leave the clinic. This role requires strong communication, teamwork, flexibility, attention to detail, and the ability to support clinical duties, front desk operations, medical records, referrals, MVA patient coordination, and overall patient care coordination.

Candidates with additional skills such as X-ray, IV administration, and phlebotomy are strongly encouraged to apply. We value team members who bring additional clinical skills and are willing to support multiple areas of patient care.

Key ResponsibilitiesPatient Welcome & Front Desk Duties

Greet patients warmly and professionally upon arrival.
Assist patients with check-in and check-out.
Help patients complete paperwork or electronic forms when needed.
Answer incoming phone calls professionally in English and Spanish.
Take detailed messages and route calls to the appropriate staff member or provider.
Schedule patient appointments and help manage the daily clinic schedule.
Respond to patient questions in a respectful and helpful manner.
Verify insurance eligibility and collect copays or patient balances.
Maintain a clean, organized, and welcoming front desk/reception area.
Communicate professionally with patients, family members, providers, staff, insurance companies, vendors, attorneys’ offices, and outside medical offices.

Medical Assistant / Clinical Duties

Room patients and prepare them for provider visits.
Record vital signs, chief complaints, and update medical histories.
Assist providers during exams, procedures, and patient care activities.
Prepare and clean exam rooms before and after patient visits.
Perform basic lab duties as assigned.
Administer injections, if trained, certified, and permitted by clinic policy.
Assist with phlebotomy, IVs, or X-ray-related duties, if trained and qualified.
Follow clinic protocols for infection control, safety, and patient care.
Provide clear patient instructions in both Spanish and English when needed.

MVA / Accident Patient Coordination

Assist with coordination of Motor Vehicle Accident patients from check-in through follow-up care.
Collect and organize required MVA patient information, including accident details, insurance information, attorney information, and related documentation.
Communicate professionally with patients, attorneys’ offices, insurance representatives, imaging centers, specialists, and other outside offices as needed.
Help schedule follow-up visits, X-rays, referrals, and additional treatment appointments related to accident care.
Track MVA-related referrals, records requests, and patient follow-up needs.
Scan, upload, and maintain MVA documentation accurately in the electronic health record system.
Assist patients in understanding next steps related to their accident care, referrals, imaging, and follow-up appointments in Spanish or English as needed.
Maintain confidentiality and proper handling of all MVA-related medical records and patient information.

Medical Records, Referrals & Care Coordination

Update patient information in the electronic health record system.
Scan, upload, and manage incoming and outgoing documents.
Request, receive, and process medical records.
Coordinate referrals to specialists and outside facilities.
Assist with prior authorizations when needed.
Track referral completion and follow up with patients, specialty offices, insurance companies, and attorneys’ offices when applicable.
Maintain accurate documentation in accordance with HIPAA requirements.
Help patients understand referral instructions and follow-up steps in Spanish or English as needed.

Team Support

Assist with clinic operations during busy periods.
Support providers, front desk staff, and other medical assistants as needed.
Help improve patient flow, patient experience, and daily workflow.
Maintain professionalism and flexibility in a fast-paced healthcare setting.
Assist with patient outreach, reminders, and follow-up calls when needed.

Qualifications

High school diploma or equivalent required.
Medical Assistant certification preferred but not required with relevant experience.
Associate degree preferred, or equivalent healthcare/clinical experience.
Minimum of 1 year of experience in a medical office, urgent care, primary care, or clinical setting preferred.
Experience with MVA patients, accident care coordination, referrals, medical records, or attorney communication is a plus.
Experience with EHR/EMR systems preferred.
Experience with insurance verification, referrals, and prior authorizations preferred.
Knowledge of medical terminology and HIPAA preferred.
Proficient computer skills, including Microsoft Office or similar systems.
Must be able to speak, read, and communicate clearly in Spanish and English.
Bilingual Spanish/English communication skills are required.
X-ray, IV, and phlebotomy experience is a plus.

They should enjoy helping patients, supporting providers, managing front desk responsibilities, coordinating referrals, assisting with MVA patient coordination, and keeping medical records organized.

This person should be proactive, respectful, detail-oriented, and committed to delivering excellent care and service to every patient.

Work Environment

This position is based in an in-person clinic setting. The role may require standing, walking, assisting patients, using a computer, answering phones, coordinating referrals, managing records, and supporting daily clinic operations.

Pay

Starting at $16.00 per hour, with the possibility of increase based on experience, qualifications, and additional clinical skills.
