The role often requires adaptability, multitasking, and a proactive approach to ensure the office operates efficiently.
By fulfilling these duties, administrative assistants play a pivotal role in maintaining organizational productivity and supporting both staff and management effectively

Job Description

Your Role

Arranging meetings, appointments, and travel plans for managers or teams, and booking conference rooms and coordinating calendars to avoid conflicts at 4 different campuses.
Supporting onboarding processes for new hires and helping improve office processes and policies to enhance efficiency. Coordinating visitors through registration at 4 different campus locations, transportation logistics, lodge reservations, conference room facilities, and refreshment and meal planning. This includes planning and operations around large symposia (300-600 people).
Providing general administrative support to managers, executives, or departments, ensuring smooth day-to-day operations.
Planning, preparing, editing, and formatting documents such as organizational newsletters, and reports using Microsoft Office Suite or similar software.
Ability to manage multiple tasks, prioritize work, and maintain attention to detail.
Clear oral and written communication, professionalism in interactions with staff, clients, and visitors. Strong interpersonal skills.
Ability to anticipate needs, resolve minor issues independently, and support workflow improvements.
Handling sensitive information with care and maintaining professional standards

Required Qualifications

Bachelor’s degree from an accredited institution, OR a high school diploma/GED with at least 6 years of relevant experience in a related field.
3+ years of experience with MS Office software (Word, Excel, PowerPoint, Outlook) and office equipment.

Desired Qualifications

Strong ability to learn new digital tools for travel, ordering material, booking conference rooms, etc.

Relocation Assistance Provided: No

For candidates applying to a U.S. based position, the pay range for this position is between $79,800.00 and $119,800.00. The Company pays a geographic differential of 110%, 120% or 130% of salary in certain areas. The specific pay offered may be influenced by a variety of factors, including the candidate’s experience, education, and skill set.

Bonus eligibility: discretionary annual bonus.

This posting is expected to remain open for at least seven days after it was posted on July 22, 2026.
