Full Job Description

KAIA is seeking an experienced Project Manager / Print Specialist to support the U.S. Customs and Border Protection (CBP) Printing and Graphics Program in Washington, DC.

This position combines print production expertise with project and team management. The successful candidate will manage customer requests, coordinate with vendors and government personnel, oversee schedules and funding, and help lead the day-to-day activities of the KAIA team supporting the program.

Responsibilities

Project & Team Management, 5+ years

Project Management: Lead day-to-day project activity, manage priorities and deadlines, monitor progress, and implement course corrections as needed.
Team Leadership: Coordinate workload and coverage, facilitate team meetings, support staff performance and development, and help maintain consistent processes across the team.
Tracking & Reporting: Maintain project trackers, aging reports, performance metrics, and status reports for KAIA and CBP leadership.
Stakeholder Communication: Serve as a key point of contact between customers, contract staff, vendors, and government leadership.

Print Production & Procurement, 5+ years

Manage print and graphics projects from initial request through production and delivery.
Develop print specifications and coordinate estimates, proofs, production schedules, quality reviews, and final delivery.
Process requests through the CBP Printing and Graphics Database and prepare required GPO documentation.
Ensure projects meet applicable federal printing requirements, DHS branding standards, and CBP procedures.
Review print files and resolve production or quality issues with vendors.

Vendor Management

Coordinate directly with approved print vendors on quotes, specifications, proofs, schedules, and deliveries.
Monitor vendor performance and follow up on production or delivery issues.
Maintain strong working relationships with vendors and ensure project requirements are met.

Funding Coordination

Obtain customer approval of project costs and coordinate funding requests through the CBP process.
Work with CBP budget personnel to track funding status and resolve outstanding items.
Ensure required funding approvals are in place before production begins.

Customer Service

Consult with customers to define project scope, specifications, schedule, and requirements.
Provide timely project updates and maintain regular communication throughout the project lifecycle.
Respond to customer questions and concerns professionally and work proactively to resolve issues.

Required Qualifications

5+ years of experience in print production, print procurement, project management, or a closely related field.
Experience managing multiple projects and competing deadlines.
Strong knowledge of print production processes and vendor coordination.
Knowledge of or experience with Government Publishing Office procedures, federal printing requirements, or print procurement processes.
Strong customer service, communication, organizational, and problem-solving skills.
Experience working directly with customers, vendors, team members, and leadership.
Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Outlook.
Ability to work independently and maintain strong attention to detail.
Ability to work on-site in Washington, DC approximately 2–3 days per week.
U.S. citizenship required.
Must be able to successfully complete any federal background investigation and suitability requirements necessary to support the CBP program.

Preferred Qualifications

Experience supporting a federal government printing or graphics program.
Experience with GPO documentation and federal print procurement.
Familiarity with Title 44 and applicable federal printing requirements.
Experience with publications, signage, promotional products, specialty printing, and graphics production.
Previous team lead or supervisory experience.
Experience with project reporting, aging reports, dashboards, or performance metrics.
Familiarity with Adobe Acrobat and reviewing print-ready graphics files.
Graphic design experience is not required.

Schedule & Work Location

Full-time, Monday through Friday
Approximately 8:30 AM–5:00 PM
Hybrid position requiring in-office work in Washington, DC approximately 2–3 days per week
Telework may be available on other days based on program requirements
