ABOUT THE ROLE
We need an Administrative Assistant / Bookkeeper who thrives under pressure, communicates with crystal clarity, brings a strong background in bookkeeping or accounting, and can handle the demands of a growing construction business. You’ll be supporting our team with both recurring and ad-hoc tasks, while also taking full ownership of our bookkeeping and financial processes. This is a dynamic, fast-paced role at a smaller company where accuracy, and proactive problem-solving are critical. If you're detail-oriented, highly organized, and always looking for ways to improve, you'll fit right in.
There are always improvements to be made and work to be done. No slow days here at Natay.
WHAT YOU'LL ACTUALLY BE DOING
Office & Admin Support:
- Traditional admin: mail, plants, tidying, filing, organization, stocking supplies etc.
- Prioritize urgent vs non-urgent tasks to keep things moving
- Assist the EA with organizational systems/automations (AI/Zapier a plus)
- Other duties as assigned/needed
Communication Management:
- Manage all incoming/outgoing office main line communications (email, calls, text)
- Communicate timely and professionally to both: high-end clients and trade subcontractors
- Filter and escalate only critical information to the team
Systems & Paperwork Management:
- Organize, update, and manage paperwork across multiple software platforms
- Maintain and update filing systems, contracts, and paperwork
Financial Administration:
- Full responsibility for Quickbooks: bank feeds, categorization, reconciliation
- Track and pay approved bills, manage accounts payable/receivable
- Organize and collect financial documents for construction jobs and for Natay
- Prepare books for tax season and coordinate with our CPA
- Generate and review monthly financial reports (P&L, balance sheet, cash flow)
- Regularly review credit card and bank statements for accuracy and fraud
- Assist with budgeting and forecasting
- Maintain organize records for audits and compliance
- Support leadership with ad-hoc financial analysis as needed

Required Qualifications:
- 2+ years bookkeeping/accounting experience (QuickBooks Online preferred)
- Advanced computer proficiency (Google Suite, Adobe Sign, Box)
- Experience managing complex schedules/priorities
- Bonus: JobTread, Monday.com, Zapier, AI/automation tools
- Preferred: Experience in construction or related industry; prior admin/office manager experience
