Office Manager (Hybrid)

Location: Austin, TX (Hybrid – Approximately 2 Days In-Office Weekly)
Pay: $55,000–$60,000 annually (Based on Experience)
Schedule: Monday–Friday | 8:00 AM–5:00 PM | Full-Time

We're seeking an experienced, proactive Office Manager to oversee business operations, accounting processes, compliance, and administrative functions for a growing professional services organization. This is an excellent opportunity for someone who enjoys wearing multiple hats, improving processes, and keeping an organization running efficiently.

If you're highly organized, confident managing priorities, and comfortable balancing finance, operations, and compliance, we'd love to hear from you.

What You'll DoOperations & Office Management

Oversee daily office operations and administrative functions.
Develop and improve internal processes to increase efficiency.
Coordinate projects, meetings, and company initiatives.
Support leadership with operational planning and organizational needs.
Maintain company policies and administrative procedures.

Accounting & Payroll

Manage Accounts Payable and Accounts Receivable using QuickBooks or similar accounting software.
Assist with budgeting, financial tracking, and reporting.
Process payroll accurately using ADP or a comparable payroll system.
Maintain financial records and assist with accounting functions.

Compliance & Business Administration

Manage corporate filings, registrations, insurance renewals, and compliance documentation.
Maintain business licenses, operating agreements, and required corporate records.
Coordinate vendor agreements, NDAs, and teaming agreements.
Support ongoing risk management and organizational compliance efforts.

Certifications & Vendor Management

Assist with maintaining M/WBE, DBE, and other business certifications.
Manage registrations and business profiles with state agencies and procurement systems.
Maintain vendor portals, HR systems, scheduling platforms, and document management software.

What We're Looking ForRequired Qualifications

Bachelor's degree in Business, Accounting, Finance, Management, or a related field.
3–5 years of office management, operations management, or administrative leadership experience.
Strong organizational and project coordination skills.
Experience managing multiple priorities with minimal supervision.

Preferred Qualifications

Project Management Professional (PMP) certification.
Experience supporting professional services, consulting, engineering, or government contracting organizations.

Technical Skills

Experience with:

QuickBooks (or comparable accounting software)
ADP (or similar payroll platforms)
Microsoft 365 (Excel, Word, Outlook, Teams)
Microsoft Copilot, Power Automate, or Power BI
HRIS platforms
Calendly
TaxDome
Procurement platforms such as Bonfire or Euna
