Full Job Description

Office Manager / Accounting & Administrative Coordinator

Black Line Concrete LLC is a growing commercial concrete contractor based in Utah. We are looking for a highly organized, dependable, and detail-oriented Office Manager to oversee our daily administrative and accounting operations while supporting our project management team.

This position plays a critical role in keeping the office running efficiently and ensuring our financial and administrative processes remain organized and accurate.

Responsibilities

Manage Accounts Payable (AP) and Accounts Receivable (AR)
Process invoices and customer billing
Maintain accurate records in QuickBooks
Perform bank reconciliations
Assist with payroll processing and employee records
Maintain vendor and subcontractor documentation
Prepare lien waivers and compliance documents
Manage Certificates of Insurance (COIs)
Assist with contracts and project documentation
Maintain organized digital and physical filing systems
Answer phones and respond to emails professionally
Coordinate office operations and administrative tasks
Support project managers with administrative needs
Track outstanding invoices and assist with collections
Prepare reports using Microsoft Excel
Perform other administrative duties as assigned

Qualifications

Minimum 2 years of accounting or office management experience
Experience using QuickBooks
Strong Microsoft Excel and Outlook skills
Excellent organizational and communication skills
Ability to prioritize multiple tasks
High attention to detail
Professional attitude and strong work ethic
Construction industry experience is preferred
Bilingual (English/Spanish) is preferred

Schedule

Full-time
Monday through Friday
40 hours per week
In-person
