Full Job Description

Overview
Millar Legal is seeking a highly organized and proactive Executive Administrative Assistant to support the managing attorney of the law firm. This role requires a detail-oriented individual who can manage multiple tasks efficiently and professionally. The ideal candidate will possess strong computer literacy, excellent organizational skills, exceptional communication abilities, and a professional demeanor.

Responsibilities

Manage Inbox, Calendars, scheduling appointments, and coordinating meetings of managing attorney to optimize time management.
Oversee office management tasks, ensuring a well-organized and efficient workspace.
Greet clients entering the office and answer phone calls.
Serve as a personal assistant to managing attorney, including mailing, scanning, and photocopying and some personal tasks.
Maintain high standards of phone etiquette while handling incoming calls and directing them appropriately.
Record and edit videos of attorneys for distribution to clients, as well as internal training videos.
Create social media content.
Prepare documents, presentations, and reports using Google Suite and Microsoft Suite applications.
Assist in maintaining office supplies inventory and ordering as necessary.
Implement organizational systems to enhance productivity within the office.
Coordinate rent and leases for 885 Baxter offices.
Prepare daily meals for managing attorney including smoothies, salads, omelets, and more.

Requirements

Proven experience in an administrative role, preferably as an executive assistant or similar position.
Strong calendar management skills with the ability to prioritize tasks effectively.
Strong organizational and time management abilities, with keen attention to detail.
High level of computer literacy with experience in Google Suite applications (Gmail, Docs, Sheets, Drive).
Excellent organizational skills with keen attention to detail and the ability to multitask.
Strong phone etiquette and interpersonal skills for effective communication with clients and team members.
Professional demeanor and positive attitude.
Ability to work independently while being a collaborative team player.
