Hermes Landscaping is a nationally recognized, award-winning company that has proudly served the Kansas City metro for more than 60 years. As one of the Midwest's leading commercial landscape contractors, we specialize in commercial landscape construction, landscape maintenance, and snow and ice management.

We're looking for an experienced Contract Administrator to join our Commercial Landscape Construction team. This role is ideal for someone who is highly organized, detail-oriented, and experienced in managing contracts and documentation for large-scale construction projects.

The Opportunity

As a Contract Administrator, you'll play an important role in supporting our Commercial Landscape Construction Division throughout the lifecycle of our projects. You'll be responsible for managing contracts, maintaining critical project documentation, monitoring compliance, administering change orders, and supporting the financial and administrative requirements of projects.

You'll work closely with project managers, contractors, subcontractors, vendors, customers, and internal teams to help ensure projects remain compliant, organized, and moving forward.

What You'll Do

Contract & Project Administration

Review, process, and administer contracts for commercial construction projects
Obtain, verify, and maintain required project documents
Set up new projects and coordinate job setup with accounting and project teams
Track contract requirements, deadlines, and project documentation
Serve as a liaison between customers, contractors, vendors, and internal teams

Billing & Financial Administration

Maintain project budget sheets and track project costs
Prepare billing documentation, schedules of values, and payment applications
Code and process project-related invoices
Coordinate with accounting and project teams to resolve billing discrepancies

Change Orders & Compliance

Manage and track change orders, including scope and pricing changes
Monitor contracts and documentation for compliance and accuracy
Identify missing documentation or contractual issues and coordinate resolution
Assist with project closeout and final documentation

What We're Looking For

Experience in contract administration, construction administration, project coordination, or a related role
Experience working with commercial construction contracts and project documentation
Strong understanding of contracts, change orders, payment applications, and construction documentation
Excellent written and verbal communication skills
Strong attention to detail and commitment to accuracy
Excellent organizational and time-management skills
Ability to manage multiple projects, contracts, deadlines, and competing priorities
Strong analytical and problem-solving skills
Ability to identify contractual risks, discrepancies, and missing information
Comfortable communicating and negotiating with contractors, subcontractors, vendors, customers, and internal teams
Strong computer skills and ability to learn and work across multiple project management and business software platforms
Experience in commercial construction, landscaping, general contracting, or another project-based industry preferred

This role is best suited for someone who enjoys staying organized, working through the details of complex projects, and helping project teams stay ahead of contractual requirements and deadlines.

A Contract Administrator or Contract Manager with commercial construction experience
A Construction Project Coordinator with strong contract and documentation experience
Someone with a general contractor or subcontractor background who understands the administrative side of large-scale construction projects
