Job Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support, ensuring smooth office operations and accurate financial record-keeping. The ideal candidate will be energetic, highly organized, and possess excellent communication skills to serve as the first point of contact for clients and visitors alike. Responsibilities

Manage daily bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Maintain accurate financial records through diligent data entry and spreadsheet management
Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls professionally with proper phone etiquette
Support office management by organizing files, managing calendars, scheduling appointments, and coordinating meetings
Assist with client communication and customer support via phone, email, and in person
Prepare correspondence, reports, and documents using Microsoft Office applications including Word and Excel
Ensure office supplies are stocked and maintained; oversee filing systems for easy retrieval of documents

Experience

Proven clerical experience in an office setting with strong organizational skills
Familiarity with QuickBooks or similar accounting software is highly preferred
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry skills
Previous experience managing multi-line phone systems and front desk responsibilities
Bilingual ability is a plus to effectively communicate with diverse clients and team members
Strong time management skills with the ability to prioritize tasks efficiently
Personal assistant or office management experience is advantageous but not required; training will be provided for specific software tools
