Full Job Description

Dealership Office Administrative Assistant

We are a growing independent used car dealership looking for a dependable, organized, and customer-focused team member to become an integral part of our daily operations. This position is ideal for someone who enjoys variety, can stay organized in a fast-paced environment, and is comfortable handling both customer service and administrative responsibilities.

This is not a desk job where you'll only answer phones. You'll be involved in nearly every aspect of dealership operations and will play an important role in helping customers through the buying process from start to finish.

Responsibilities

Answer inbound phone calls, emails, and online leads
Respond to customer inquiries and provide vehicle information
Schedule appointments for prospective buyers
Direct incoming calls to the appropriate person when necessary
Follow up with customers regarding financing documents, insurance information, proof of income, references, and other required paperwork
Assist with title work and vehicle registration paperwork
Upload title applications and supporting documents to lenders for funding verification
Stock newly acquired vehicles into our dealership management system
Prepare and organize deal jackets
Print and maintain Buyers Guides
Maintain the dealership police book and required compliance records
Keep customer files accurate and organized
Assist with vehicle deliveries and test drives
Help maintain a clean, professional, and organized office environment
Provide general administrative support to dealership operations
Perform other dealership related tasks as needed

Qualifications

Excellent communication and customer service skills
Highly organized with strong attention to detail
Comfortable using computers and learning dealership software
Able to multitask and prioritize in a fast-paced environment
Professional appearance and positive attitude
Valid driver's license with a clean driving record
Automotive dealership experience is preferred but not required. We are willing to train the right candidate.
