Full Job Description

POSITION SUMMARY

Perform a combination of routine calculating, posting, and verifying duties and assist in maintaining restaurant accounting records. Check the accuracy of calculations and submitted cash by those in cash handling positions.

Essential Functions Statement(s)

Financial Reporting & Daily Sales Support

Reconcile daily sales, labor, service charges and tip pool activity, including preparation of cash, credit card, and gift card deposits, and review of service checkouts, comps, voids, discounts, and vouchers. Including Manager Promo tracking.
Prepare and handoff of cash deposits on courier days, and help issue and reconcile daily banks in line with company procedures.
Assist in recording and maintaining all daily sales report imports, payments, and receivables in accounting software, in a timely manner to ensure accurate cash flow reporting. Communicate daily discrepancies through appropriate systems such as communication log.
Enter daily sales and labor data into reporting systems and assist in preparing reports as needed.
Maintain accurate records of daily sales, deposits, and payroll documentation as directed.

Office & Administrative Support

Entering new employees into all applicable systems (Paycom, Aloha, HotSchedules) as directed by the Office Manager and HR Coordinator.
Assist in entering vendor invoices and credits promptly and accurately in accounting system.
Assist in weekly check runs as needed.
Provide general office support including answering phones and emails, directing calls, taking messages, answering general guest questions or making reservations, disseminating or explaining information, checking mail, maintaining office supplies, organizing office space, and training new employees as needed.
Assist with equipment operations and troubleshooting problems involving office equipment, such as computers, internet, phone, printers/copying machine.

Reporting and Compliance

Audit and correct timekeeping records.
Support compliance with recordkeeping policies to ensure documentation is complete and
organized.

General Office & Team Support

Assist Office Manager, HR Coordinator, and Support Office with various administrative tasks and projects as needed to support store-level and company-wide operations.
Assist in ensuring the restaurant remains in compliance with recordkeeping requirements, including timely completion and storage of Daily Sales and Labor Reports, employee timekeeping card backups, daily checkouts, and payroll documentation, and vendor invoices.
Work with rest of office staff to ensure office organization and cleanliness.
Report for work on time and uphold expectations for attendance, uniform and professional conduct. Regular attendance is an essential function of this job.
Maintain confidentiality and protect access to sensitive information, including company data, employee records, and customer details, by following all protocols and preventing unauthorized access or disclosure.
Demonstrates job competencies by successfully assisting in completing and passing all components of the company’s bi-annual audit.
