Full Job Description

Position Title: Accounts Payable Manager

Supervised By: Head of Finance

Benefits: Full, eligible

Classification: Full-time, exempt

Physical Requirements: Periodic lifting up to 50 lbs.; periodic periods of standing, stretching, bending, stooping, pushing and pulling.

The Accounts Payable Manager will assist with all Accounting Department needs. They will offer support to the Operations and Accounting Teams, and Head of Finance. They will be required to use different platforms to fulfill these tasks, ensuring that the work is performed in a timely manner that is also performed correctly with minimal errors and supervision. This position will report to both the Head of Finance.

Responsibilities:

Manage the full-cycle accounts payable process using QuickBooks Online.
Negotiate terms with vendors and subcontractors.
Enter, review, and process vendor invoices, credit memos, and expense reports accurately and on time.
Monitor the AP inbox and respond to vendor inquiries professionally and promptly.
Ensure proper approvals and documentation are obtained and maintained for all payments.
Process weekly, bi-weekly, and monthly payments via ACH, wire transfer, and checks.
Run company reports are requested by management or Head of Finance.
Maintain vendor records and 1099 compliance in QBO.
Reconcile vendor statements and resolve discrepancies.
Manage month-end close tasks related to payables (accruals, reconciliations, reports).
Analyze AP aging and prepare reports for management.
Implement and improve internal AP processes and controls.
Coordinate with purchasing, operations, and finance departments to resolve issues.
Train and supervise AP team members (if applicable).

Required Skills:

3+ years of experience in Accounts Payable; 1+ years in a managerial or lead role preferred.
Strong hands-on experience with QuickBooks Online is required.
Proficient in Microsoft Excel and Google Workspace.
Excellent organizational and time management skills.
Strong attention to detail and problem-solving abilities.
Understanding accounting principles and GAAP.
Experience with expense management platforms (e.g., Capital One, QBO, Monday.com etc.)
Familiarity with multi-entity or multi-location accounting structures.
Prior experience in a high-volume AP environment.
