Project Coordinator

Job Description

WEBER USA is seeking an organized, detail-oriented, and motivated Project Coordinator to support the Project Management function. This is an entry-level project support role designed for someone with strong communication skills, follow-through, attention to detail, and the desire to grow into a larger project management role over time.

The Project Coordinator will report to and work closely with the Project Manager to assist with project planning, customer order processing, documentation, scheduling, internal follow-up, and cross-functional communication. This person will help ensure that project information is accurate, deadlines are tracked, internal teams are aligned, and customers receive timely updates.

This role is ideal for someone who is early in their career or looking to transition into project management. Direct manufacturing or automation experience is not required, but the successful candidate must be highly organized, professional, eager to learn, and comfortable working with multiple departments in a fast-paced environment.

Over time, the Project Coordinator will gain experience with WEBER’s products, customers, internal processes, ERP system, project management tools, and manufacturing environment. For the right person, this role can provide a long-term growth path toward a full Project Manager position.

Responsibilities

Support the Project Manager with planning, coordination, and execution of customer projects
Assist with defining project tasks, timelines, responsibilities, and follow-up items
Process new customer orders in SAP and applicable project management software
Generate and distribute order confirmations and project-related documentation
Coordinate internal deadlines and follow up with engineering, production, purchasing, logistics, sales, and service teams
Help maintain accurate project files, schedules, records, and customer documentation
Track project milestones, open action items, and due dates
Assist with preparing project status updates for internal stakeholders and customers
Participate in project meetings and record meeting notes, action items, and next steps
Help identify potential delays, missing information, or coordination issues and communicate them to the Project Manager
Support change order documentation and internal communication related to project changes
Work with the logistics team to help coordinate shipping and receiving requirements for project materials
Assist with tracking and reporting project-related KPIs
Support continuous improvement efforts within the project management process
Learn WEBER products, systems, customers, and internal processes in preparation for future growth

Preferred Experience

Experience in manufacturing, engineering, logistics, customer service, inside sales, administration, or project coordination
Prior exposure to ERP systems, SAP, CRM systems, or project management software
Experience working with technical documentation, customer orders, schedules, or internal process tracking
Familiarity with industrial equipment, automation, or manufacturing environments is a plus but not required

Education

Associate’s degree preferred in business, project management, engineering technology, supply chain, manufacturing, or a related field
Equivalent work experience, military experience, or demonstrated administrative/project coordination ability will also be considered

Growth Path

This position is intended to develop into a stronger project management role over time. As the Project Coordinator gains experience, demonstrates ownership, and develops technical and customer-facing skills, additional responsibilities may be added. Long-term growth may include advancement to Senior Project Coordinator, Associate Project Manager, or Project Manager based on performance, capability, and business need.
