About the Role
We are seeking a reliable, tech‑savvy, customer‑focused individual to join our team as a Storage Operations & Office Coordinator. This is an entry‑level position designed to grow into an intermediate role once fully trained in our systems, procedures, and software (ESS, AppFolio, QuickBooks, and storage operations).
This is a fast‑paced and growing office environment where no two days look the same. The role combines storage facility operations, front‑desk support, administrative duties, basic bookkeeping/data entry, and light social media marketing. You will spend approximately 20 hours per week managing our storage facilities and 20 hours per week supporting front‑desk and office operations. All required software and processes will be fully trained.
This position is ideal for someone who enjoys variety, problem‑solving, customer service, and being part of a team that is expanding and evolving.
Location
- Primary office location: Midland, MI
- Storage facilities are located throughout Midland County
- Errands may be required within the Tri‑Cities area (Midland, Bay City, Saginaw)
- Candidate must be comfortable traveling between sites as needed (mileage reimbursed if applicable)
Key Responsibilities
Storage Facility & Marketing (≈20 hours/week)
Marketing & Online Presence
· Update the storage website and coordinate with SEO partners
· Create simple Facebook posts and monitor online reviews
· Market vacant units across platforms and take updated facility photos
· Manage storage emails and keep communication organized
Tenant & Data Management
· Process move‑ins and move‑outs
· Maintain accurate tenant information
· Ensure all tenants have required insurance and request updates as needed
· Resolve undelivered notices and missing information
Rent Collection & Financial Tasks
· Record payments and prepare daily deposit details
· Generate weekly collection reports
· Contact late tenants to reduce delinquencies
· Complete lien and auction steps per Michigan law
· Support occupancy and revenue goals
Facility Oversight
· Perform weekly drive‑through inspections and document findings
· Lock/unlock past‑due units and complete light cleaning (sweeping, cobweb removal)
· Report maintenance needs and coordinate with vendors
· Serve as the point of contact for gate, keypad, camera, and fence issues
Additional Responsibilities
· Conduct monthly competitor checks
· Adjust market rents and fees as needed
· Restock locks and notify when inventory is low
· Stay current on Michigan storage laws and industry standards
· Enforce storage policies consistently
· Maintain strong tenant relations
· Track SSA/SSAM conferences and industry updates
Administrative & Basic Data Entry Support (≈20 hours/week)
Front Desk & Customer Interaction
· Provide front‑desk coverage and greet walk‑in customers
· Answer and manage a multi‑line phone system with professional phone etiquette
· Respond to emails, messages, and customer inquiries
· Maintain a welcoming, well‑organized front‑office environment
Rental Property Support (Cross‑Training & Backup)
· Cross‑train in the Rental Property Manager’s responsibilities
· Provide backup coverage during absences (applications, inquiries, communication, marketing updates)
· Assist with rental‑related tasks to ensure smooth office operations
Administrative Tasks
· Open, sort, and distribute incoming mail
· Run office errands within the Tri‑Cities (Midland, Bay City, Saginaw)
· File, organize, and retrieve archived documents
· Draft documents, letters, and notices
· Assemble and mail packets accurately and efficiently
· Support general office organization and daily workflow
Basic Data Entry & Office Support
· Perform data entry into QuickBooks
· Prepare deposits and outgoing mail
· Make copies of deposits and maintain organized records
· Assist with routine administrative duties assigned by the Office Manager
· Perform other job responsibilities deemed appropriate by the Office Manager or Owner

Education & Licenses
- High school diploma or GED required
- Valid State Driver's License
Physical & Mental Requirements
This role involves both office work and hands‑on tasks at the storage facilities. Candidates must be able to:
- Ability to perform the physical requirements of the position with or without reasonable accommodations such as:
- Walk the storage property to check units and facility conditions
- Open and close storage unit doors (including roll‑up/garage‑style doors)
- Clean out units as needed
- Sit, stand, and walk periodically throughout the workday while performing office duties
- Occasionally stoop, kneel, or reach with hands and arms
- Work in environments with moderate noise levels
- Use fine motor skills for data entry, filing, and office tasks
- Lift up to 20 pounds unassisted to move equipment and supplies
- Work indoors at the office and outdoors at storage facilities in all seasons and weather conditions
- Handle customer interactions calmly and professionally, including during stressful situations
- Maintain focus, accuracy, and attention to detail while performing administrative and data‑entry tasks
Required Skills & Qualifications
· Must be able to follow the assigned schedule reliably
· Ability to read, write, and respond professionally in verbal and written communication
· Basic math skills (addition, subtraction, counting change)
· Excellent communication and interpersonal skills
· Tech‑savvy and comfortable with computers, internet, cloud‑based software, CRM systems, and basic troubleshooting
· Intermediate proficiency in Microsoft Excel and Microsoft Word is required
· Comfortable using Microsoft Teams and Outlook for daily communication
· Ability to learn new computer programs quickly (ESS, AppFolio, QuickBooks)
· Reliable transportation is required
· Ability to work independently with minimal supervision
· Ability to plan, coordinate, and prioritize work effectively
· Ability to meet multiple deadlines throughout the day
· Ability to report daily activity with accuracy and attention to detail
· Provide timely and accurate solutions through inbound and outbound conversations (phone, email, chat, etc.) while maintaining a positive, upbeat attitude

Preferred (Not Required)

Schedule & Compensation
- Full-time, 40 hours/week
- Regular hours are Monday–Friday, 8:00 AM–5:00 PM. There may be occasional after‑hours needs (e.g., unlocking a unit, checking units, or supporting workload demands). These situations are infrequent but part of the operational nature of the role.
