Full Job Description

Position Summary

The Accounts Payable & Purchasing Coordinator is primarily responsible for managing the day-to-day accounts payable process—including invoice preparation, verification, processing through Bill.com and QuickBooks Online, and payment tracking—while ensuring compliance with established company policies, procedures, and internal controls. This role also supports purchasing activities, from purchase order creation through delivery follow-up, maintaining accurate records and supporting efficient business operations.

Essential Responsibilities

Rename vendor invoices according to established file naming conventions.
Verify invoices against purchase orders in Excel, including pricing, quantities, taxes, freight charges, and supporting documentation.
Perform three-way matching of purchase orders, receiving documentation, and vendor invoices prior to payment.
Save processed invoices to the local shared drive in accordance with filing procedures.
Upload approved invoices to Bill.com for payment processing.
Sync invoice and payment data between Bill.com and QuickBooks Online, ensuring accurate entry in QBO.
Track payment status and process invoices within established payment terms.
Resolve invoice discrepancies by requesting corrected invoices or vendor credit memos.
Reconcile vendor statements.
Investigate missing invoices, unapplied credits, and payment discrepancies.
Communicate with vendors to resolve billing and documentation issues.
Maintain accurate vendor records and account information.
Maintain organized electronic and physical accounts payable records.

Purchasing (Secondary)

Create and issue approved purchase orders and track purchasing activity.
Monitor open purchase orders and follow up with vendors regarding order status and delivery schedules.
Communicate shipment delays and backorders to internal departments.
Coordinate replacement or substitute products when necessary.
Maintain purchasing catalogs, including current pricing, vendor information, and product details.
Maintain accurate purchasing records and documentation.

Month-End Close & Audit Support

Ensure all invoices are entered before monthly closing deadlines.
Assist with accounts payable accruals.
Support month-end and year-end closing activities.
Provide documentation for internal and external audits.

Compliance & Internal Controls

Follow established purchasing and accounts payable procedures.
Verify that all required approvals are obtained before processing payments.
Prevent duplicate invoices and duplicate payments through careful review.
Maintain complete supporting documentation for audit purposes.
Adhere to segregation of duties and other internal control requirements.
Report control deficiencies or unusual transactions when identified.

Reporting

Prepare weekly accounts payable aging reports.
Monitor invoice processing turnaround times.
Assist with departmental KPI reporting.

Qualifications

Bachelor's degree in Accounting, Business Administration, or a related field preferred.
Two or more years of experience in Accounts Payable, Purchasing, or Procurement.
Experience performing three-way invoice matching.
Experience using QuickBooks Online; experience with Bill.com strongly preferred.
Proficiency in Microsoft Excel.

Pay: $65,000.00 - $75,000.00 per year
