Job Overview
We are seeking a highly organized and friendly Front Desk Receptionist to join our team. This role is crucial in ensuring smooth operations at the front desk, providing exceptional customer service, and managing administrative tasks efficiently. The ideal candidate will possess strong time management skills and a professional demeanor, serving as the first point of contact for clients and visitors.

Responsibilities

Greet and check in a high volume of patients efficiently and professionally.
Answer and route a high volume of incoming phone calls, patient questions, and messages.
Schedule, reschedule, and confirm appointments while maintaining an organized provider schedule.
Verify patient demographics, insurance information, and required paperwork at check-in.
Collect copays, balances, and other payments accurately.
Check patients out and schedule follow-up appointments based on provider recommendations.
Coordinate appointments for consultations, biopsies, procedures, and follow-up visits.
Obtain and scan medical records, referrals, insurance cards, and other necessary documentation.
Communicate with nurses, medical assistants, providers, billing staff, and other departments to ensure smooth patient flow.
Assist with prior authorization and referral-related documentation when needed.
Maintain patient confidentiality and follow HIPAA requirements.
Handle difficult or upset patients calmly and professionally while providing excellent customer service.
Monitor the waiting room and communicate delays or schedule changes to patients.
Keep the front desk, reception area, and patient information organized and up to date.
Route clinical questions to the appropriate medical staff.
Manage multiple priorities in a fast-paced environment while maintaining accuracy and attention to detail.
Provide a welcoming, professional experience for patients from check-in through check-out.

Experience

Previous experience as a receptionist in a medical setting is preferred but not mandatory.
Strong organizational skills with the ability to multitask effectively.
Proficiency in administrative duties, including filing, scheduling, and general office management.
Excellent time management skills to prioritize tasks effectively.
