Full Job Description

The Administrative Assistant to Special Education provides administrative support for the Education Department. Responsibilities include general office duties that involve answering phones, filing, scheduling, daily time management, errands, written and verbal communication to various community members, and providing supervision of students at designated times. This position takes initiative, as well as direction, to complete tasks that help the education department run efficiently.

Schedule: This is a 12-month, Full-Time position scheduled Mon-Fri during normal business hours.

Responsibilities Include:

1. Strategic Support: Conduct comprehensive online research for school matters.

2. Master Scheduler: Expertly coordinate and manage appointments and schedules for the school counselor and IEP Coordinator

3. Organizational Guru: Scan, file, and meticulously organize special education documents and student records, maintaining a seamless information flow.

4. Leadership Concierge: Run essential errands, help with daily time management, ensure a smooth and efficient day

5. Communication: Handle phone calls, messages, and correspondence on behalf of the VP and leadership team, maintaining professionalism and discretion. Take accurate and comprehensive notes at special education meetings, including but not limited to IEP meetings.

6. Supervision: Provide adequate and vigilant supervision of students in the cafeteria and activity areas.

Assume responsibilities as assigned by the VP of Education or his/her designee.
Work overtime when needed.
Apply and promote the principles of Trauma Informed Care (safety, trustworthiness/transparency, empowerment/choice, collaboration/mutuality, peer support, cultural, historical and gender issues) by demonstrating the use of emotional intelligence, professional self-awareness, and building therapeutic alliances.

10. Utilize rapport-building skills and effective de-escalation skills to prevent traumatic re-enactment by being mindful of the youth/young adult’s trauma history as well as identified predisposing and protective factors. Demonstrating cultural awareness through meaningful language that is strength-based and sensitive to the individual, based on both current and historical usage.

Assume responsibilities as assigned by the Chief Executive Officer or his/her designee.

SPECIFICATIONS

Education, Experience & Requirements:

High School Diploma or GED.
Minimum of 21 years old.
Experience as a secretary or administrative assistant within an organization/educational environment.
Experience with Student Information Systems
Experience with Special Education regulations and record keeping
Requires proper clearances as designated by Pennsylvania Child Protective Service Law and the Pennsylvania Department of Education.
Valid Driver’s License

Skills & Abilities:

Working knowledge of confidentiality and privacy rights of students as part of an educational unit within a psychiatric treatment program.
Working knowledge of a therapeutic and trauma-informed approach to working with youth/young adult in a psychiatric/behavioral health setting to include:
safety
trustworthiness/transparency
empowerment/choice for youth
collaboration/mutuality among both youth and staff
peer support among youth
cultural, historical and gender issues
Professional interpersonal, oral, writing and communication skills (in English).
Includes communicating via email.
Includes interactions with all stakeholders of HH.
Includes hearing and understanding spoken information.
Includes typing at least 40 wpm.
Read, analyze and interpret instructions and data written in English.
Utilize basic office software such as Microsoft Word, Excel and PowerPoint
Operate typical office equipment to include a computer, software (e.g. Word, Excel, etc.), copier, scanner, fax machine, phone etc.
Apply critical thinking skills in order to problem-solve and achieve goals.
Punctuality.
Independent and Teamwork skills.
Task-management & Time-management skills so that projects are completed accurately and on time.
Ability to function and remain organized when interrupted in a busy and fast-paced environment.
