HR & Operations Coordinator – Primarily Remote

Pay: $23.00 per hour
Hours: Approximately 30 hours per week
Schedule: Five days per week
Job Type: Part-time, hourly, nonexempt
Work Setting: Primarily remote with occasional site visits

Position Summary

We are seeking a dependable and highly organized HR & Operations Coordinator to support six Northern California Wingstop locations.

This position will serve as the primary administrative contact for employee concerns and assist with the daily monitoring of HR, safety, customer service, compliance, and operational matters.

The Coordinator will receive and document employee concerns, communicate with employees and managers, coordinate with company leadership and outside HR and safety consultants, and track each matter through completion.

When HR activity is lighter, the Coordinator will assist with customer complaints, injury and safety follow-up, equipment repairs, vendor delivery issues, new-hire check-ins, operational reporting, and other assigned administrative responsibilities.

This is primarily a work-from-home position. However, the employee may be assigned to visit restaurant locations up to one day per week. Travel time will be paid, and approved mileage will be reimbursed.

Primary Responsibilities

HR and Employee Support

Monitor the company HR inbox and assigned reporting channels during scheduled working hours.
Serve as the first point of contact for employee questions, complaints, and workplace concerns.
Gather objective preliminary information and create clear, factual documentation.
Coordinate HR matters with company leadership and the outside HR consultant.
Track HR cases, deadlines, follow-ups, and required documentation through completion.
Escalate urgent matters involving harassment, discrimination, retaliation, threats, safety, injuries, wage-and-hour concerns, minors, or senior management.
Assist with leave, accommodation, workers’ compensation, injury, and return-to-work paperwork under the appropriate direction.
Support consistent documentation of coaching, attendance concerns, corrective actions, time edits, and policy acknowledgments.
Conduct and document employee exit interviews.

New-Hire Follow-Up

Contact new employees after their third completed shift.
Conduct an additional new-hire review call after approximately two weeks.
Document feedback concerning training, management support, workplace expectations, scheduling, and overall experience.
Report unresolved training, management, safety, or employee-relations concerns to leadership.

Safety and Compliance

Coordinate workplace injury and safety matters with management and the designated safety consultant.
Track food-handler cards, required certifications, training, acknowledgments, and other compliance requirements.
Follow up with managers regarding incomplete time edits, coaching documents, write-ups, and other time-sensitive records.
Maintain organized and confidential digital records.
Assist with onboarding and offboarding checklists.
Monitor break attestations five days per week.
Review Zenput activity and required follow-up five days per week.
Review SMG guest feedback and required follow-up five days per week.
Upper management will provide coverage for these responsibilities during the remaining two days of the week.

Customer Complaints

Monitor assigned customer-feedback platforms, online reviews, email accounts, and complaint channels.
Respond professionally using company-approved standards.
Contact stores to obtain order information, receipts, manager statements, video, and other relevant information.
Coordinate approved refunds, replacements, or customer follow-up.
Escalate food-safety concerns, injuries, discrimination allegations, threats, fraud, or serious complaints immediately.
Prepare complaint summaries and identify recurring concerns by location.

Operations and Administrative Support

Collect and organize weekly manager reports, inspection results, training records, and action plans.
Assist with SMG, Zenput, Steritech, safety, and other operational reporting.
Contact repair companies regarding assigned equipment issues and follow up until completion.
Contact PFG regarding missing products, shortages, delivery problems, and other assigned issues.
Prepare meeting agendas, take notes, track action items, and follow up on overdue assignments.
Monitor assigned company inboxes and route messages appropriately.
Review recorded store camera footage as assigned for legitimate operational, safety, training, or incident-related purposes.
Perform other reasonable administrative and operational duties consistent with the position.

Authority and Escalation

This is a coordination and support position. The Coordinator may gather information, document concerns, and coordinate follow-up but will not independently:

Provide legal advice.
Make final findings in sensitive investigations.
Approve terminations, suspensions, final discipline, or settlements.
Approve or deny protected leave or workplace accommodations.
Make final decisions regarding workers’ compensation claims.
Promise confidentiality or a particular outcome.

Qualifications

At least two years of administrative, HR support, employee-relations, customer-service, compliance, multi-unit operations, or comparable experience is preferred.
Experience handling confidential or sensitive information.
Strong written and verbal communication skills.
Excellent organization, documentation, time management, and follow-through.
Ability to remain neutral and professional during difficult conversations.
Ability to separate facts, observations, and allegations.
Comfortable using email, shared drives, spreadsheets, video meetings, messaging applications, and web-based reporting platforms.
Able to work independently from home while staying responsive and meeting deadlines.
Human resources or California employment-practices experience is preferred but not required.
Must live within reasonable traveling distance of the company’s Northern California locations.
Must have a valid driver’s license, reliable transportation, and current automobile insurance.

Schedule and Travel

Approximately 30 hours per week across five days.
The regular schedule will be established by the company.
Primarily performed remotely.
Some flexibility may be required for scheduled employee calls, meetings, or urgent matters.
Site visits may be assigned based on business needs, generally no more than one day per week.
Travel time for assigned site visits will be paid.
Approved business mileage and expenses will be reimbursed.
All working and travel time must be accurately recorded.
Employees may not monitor or respond to work communications outside recorded working time unless specifically assigned and authorized.
