Office Assistant

Northern Glass Pros | Hyrum, Utah Position: Part-Time or Full-Time

Starting Pay: $15 per hour, with an increase possible after successful training

Northern Glass Pros is looking for a dependable, organized, and friendly Office Assistant to support our growing auto glass business. This position is an important part of our day-to-day operations and will involve assisting customers, keeping the office organized, scheduling work, supporting our technicians and management team, and helping manage our social media presence and advertising efforts.

The right person will be comfortable communicating with customers by phone, text, and email; able to stay organized in a fast-paced environment; willing to learn new systems and responsibilities; and interested in helping promote the business through social media and basic marketing tasks. We are looking for someone who communicates clearly, handles challenges professionally, and helps maintain a positive, drama-free work environment.

Responsibilities

Duties may include, but are not limited to:

● Answering incoming phone calls, texts, and emails in a professional and timely manner

● Greeting customers and visitors in the office

● Scheduling appointments and helping manage the daily calendar

● Providing helpful customer service by answering questions and resolving concerns

● Entering customer, vehicle, appointment, and payment information accurately

● Assisting with filing, recordkeeping, document organization, and general clerical work

● Creating and updating documents using Google Workspace, including Google Calendar, Gmail, Docs, and Sheets

● Proofreading customer-facing documents and office communications for accuracy and professionalism

● Assisting with invoicing, payment records, and basic bookkeeping tasks in QuickBooks

● Communicating with technicians and staff to keep jobs, schedules, and customer updates running smoothly

● Maintaining a clean, organized, professional office environment

● Managing and updating company social media accounts, including posting content and responding to messages or comments

● Assisting with basic advertising efforts, such as creating posts, promotions, and helping track engagement or results

● Taking on additional office tasks as needed to support the team

Qualifications

● Comfortable using computers, email, text messaging, and online scheduling systems

● Familiarity with Google Workspace is strongly preferred

● Experience with QuickBooks is helpful, but training can be provided

● Previous receptionist, customer service, office assistant, or administrative experience is preferred but not required

● Experience with social media platforms (such as Facebook and Instagram) and basic marketing or advertising is a plus

● Strong communication skills with the ability to stay professional, respectful, and solution-focused

● Able to handle customer questions, schedule changes, and workplace communication without unnecessary drama or negativity

● Detail-oriented with good proofreading and data-entry skills

● Able to multitask, prioritize responsibilities, and stay calm during busy periods

● Dependable, punctual, and able to work independently while also collaborating with a team

● Bilingual candidates are strongly encouraged to apply

Schedule

Applicants must be available:

● Monday through Friday: 9:00 AM to 5:00 PM (with the option to take one day off each week if desired)

● Every other Saturday (during busy months): 9:00 AM to 2:00 PM

Saturday shifts are expected approximately every other week from the beginning of March through the end of October.

The office is closed for the following major holidays:

● Thanksgiving

● Christmas Eve

● Christmas Day

● New Year’s Eve

● New Year’s Day

Starting pay is $15 per hour, with an increase possible once training is completed and the employee is confidently handling the position’s responsibilities.
