Office Manager
Hours: Monday through Friday 8:30 to 5:00 PM
Location: Rochester, Indiana
POSITION SUMMARY
The Office Manager is responsible for leading the daily operations of the office while creating a culture of accountability, communication, and operational excellence. As the primary point of contact for employees, this role oversees office operations, employee performance, coaching, policy administration, and day-to-day personnel matters to ensure the organization operates efficiently. This position requires an experienced leader who is confident in making decisions, coaching employees, holding team members accountable, and maintaining a high standard of professionalism. The Office Manager will utilize DISC/R3 Communication Styles to strengthen communication, improve employee development, and foster collaboration across the organization. The Office Manager will also become cross-trained in the Credit and Documentation Departments to understand operational workflows, support business continuity, and assist with cross-functional coordination daily. Reporting directly to the Senior Director and President, this role serves as the first level of leadership for employees while supporting executive leadership by ensuring consistent execution, accountability, and operational efficiency throughout the organization.

PERFORMANCE OBJECTIVES
Employee Leadership & Development
- Serve as the primary point of contact for employee questions, concerns, and day-to-day office matters.
- Lead employee development through coaching, performance reviews, accountability meetings, onboarding, and ongoing feedback.
- Manage attendance, PTO, scheduling, office coverage, and employee performance while consistently enforcing company policies and expectations.
- Administer performance documentation, including Performance Improvement Plans (PIPs) and corrective actions when necessary.
- Foster a positive, accountable, and high-performing workplace culture while following the proper chain of escalation for employee matters.
Office Operations & Execution
- Own the daily operations of the office to ensure efficiency, organization, and operational excellence.
- Coordinate office activities, staffing, and cross-department communication to support business continuity.
- Drive accountability by following up on action items, monitoring progress, and ensuring commitments are completed.
- Identify and implement process improvements that increase efficiency, productivity, and collaboration.
- Support executive leadership by executing operational initiatives, special projects, and company priorities.
Cross-Functional Support & Quality
- Become cross-trained in the Credit and Documentation Departments to understand company workflows and provide daily operational support.
- Coordinate workflow between departments to ensure financing opportunities continue moving efficiently.
- Serve as an additional quality control checkpoint to minimize errors and maintain company standards.
- Ensure all outgoing communications and documentation from the Credit and Documentation Departments reflect Republic First National's commitment to operational excellence, accuracy, professionalism, and exceptional customer service.
Leadership & Professional Growth
- Learn and implement Republic First National's PPF (Personal, Professional, and Financial) goal-setting program while conducting regular employee development meetings.
- Utilize DISC/R3 Communication Styles to improve communication, strengthen coaching, and maximize employee performance.
- Promote collaboration, accountability, continuous improvement, and a culture of ownership throughout the organization.
- Commit to ongoing professional development, including a minimum of 15 minutes of daily learning.
- Perform any other tasks or duties assigned by management.

EDUCATION AND EXPERIENCE
- Associate or Bachelor’s degree in Business Administration, Management, Finance, or related field preferred but not required.
- Previous management or supervisory experience required.
- Experience coaching employees and managing performance required.
- Experience conducting performance reviews, corrective action, and employee documentation preferred.
- Human Resources experience is beneficial but not required.
- Strong administrative and office management experience preferred.
- Experience with Microsoft Office and CRM systems such as Salesforce is helpful.
- Experience in banking, financial services, equipment financing, or a related industry is beneficial but not required.

PHYSICAL REQUIREMENTS
- Primarily desk-based work involving computers and office systems.
