Job Overview

We are seeking an energetic and detail-oriented Front Desk Scheduler to be a welcoming face at Carnahan Therapy. In this vital role, you will coordinate patient appointments while providing exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude, organizational skills, and technical proficiency will help create a professional and efficient environment for patients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Duties

Greet and assist visitors, patients, and staff with professionalism and warmth
Manage multi-line phone systems, directing calls accurately and courteously
Handle data entry tasks using spreadsheets, word processing, and productivity software such as Microsoft Office and Google Workspace
Maintain organized filing systems and manage office supplies inventory
Schedule appointments with attention to detail
Support patient scheduling tasks including proofreading documents, managing referrals, and updating and maintaining patient records.
Provide excellent customer support through clear communication via phone, email, or in person
Ensure phone etiquette is maintained at all times while handling inquiries efficiently
Assist with basic office management duties to promote productivity and organization

Skills

Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry tools
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional customer service skills combined with professional phone communication and phone etiquette
Experience with multi-line phone systems and front desk operations preferred
Knowledge of office management practices including filing, calendar management, and clerical procedures
Strong typing skills with attention to proofreading details for accuracy in documents
Ability to handle confidential information discreetly while maintaining high levels of professionalism
Previous experience as a medical or dental receptionist is advantageous but not required
