Full Job Description

Total Orthopedics & Sports Medicine is a leading provider of orthopedic care dedicated to helping patients return to their active lifestyles. Our innovative clinics and urgent care centers deliver specialized orthopedic services with a focus on convenience, quality, and patient-centered care.

The Billing Supervisor is responsible for overseeing and optimizing all aspects of the billing and revenue cycle management (RCM) process. This role evaluates and monitors billing operations, cash flow processes, reimbursement performance, and revenue cycle metrics while identifying and implementing process improvements to increase efficiency and maximize collections. The Billing Supervisor ensures timely and accurate claim submission, insurance verification, prior authorizations, payment posting, denial management, appeals, and arbitration activities. This is a key leadership role that reports directly to the Head of Revenue Cycle Management (RCM) and plays an integral part in driving financial performance, operational excellence, and team success.

Duties

Supervise daily billing operations and ensure compliance with company policies, payer guidelines, and regulatory requirements.
Supervise the daily operations of the Accounts Receivable department, including both domestic and overseas AR teams.
Coordinate effectively with offshore leadership to ensure consistent processes, communication, and productivity across all teams.
Provide leadership, coaching, training, and performance management to ensure productivity and accountability.
Evaluate and improve billing workflows to increase efficiency, accuracy, and reimbursement.
Monitor and optimize cash flow processes and revenue cycle performance.
Manage claim submission, payment tracking, follow-up, denials, appeals, and collections activities.
Analyze denial trends and implement corrective action plans to reduce claim rejections and improve first-pass payment rates.
Conduct regular audits of team performance and workflow quality.
Develop and implement strategies to reduce outstanding AR and improve reimbursement turnaround times.
Manage and optimize the arbitration process to maximize reimbursement outcomes.
Develop, implement, and maintain standardized billing procedures and best practices.
Oversee relationships with billing vendors, insurance carriers, clearinghouses, and other external partners.
Collaborate with external agencies and stakeholders to improve revenue performance and maximize return on investment (ROI).
Collaborate closely with the Head of RCM to develop departmental goals, KPIs, and process improvements.
Monitor and analyze monthly, quarterly, and annual key performance indicators (KPIs), including collections, denial rates, accounts receivable aging, reimbursement trends, and cash flow.
Review month-end billing and financial reports and provide recommendations for operational improvements.
Work collaboratively with practice managers and department leaders to resolve billing issues and improve workflow efficiency.
Ensure compliance with HIPAA, Medicare, Medicaid, commercial payer regulations, and all applicable federal and state billing requirements.
Assist with audits, compliance initiatives, and process improvement projects.
Lead, coach, and develop billing staff while promoting accountability and high performance.

Qualifications

Bachelor's degree in Healthcare Administration, Business Administration, Finance, or a related field preferred.
2-5 years of medical billing and revenue cycle management experience.
Demonstrated supervisory experience with the ability to lead teams, improve processes, and drive operational results.
Strong knowledge of insurance verification, prior authorizations, medical billing, collections, denials management, appeals, and revenue cycle operations.
Experience working with commercial insurance, Medicare, Medicaid, Workers' Compensation, and No-Fault insurance preferred.
Proficiency with electronic medical records (EMR), practice management systems, and Microsoft Office applications, particularly Excel.
Ability to manage multiple priorities in a fast-paced healthcare environment.
