Join Our Team as a Front Desk Agent & PBX Operator at DoubleTree by Hilton Torrance – South Bay!

Are you a hospitality professional with a passion for great customer service? DoubleTree by Hilton Torrance – South Bay is searching for a customer focused, Front Desk/PBX Agent who thrives in a fast-paced, guest-focused environment. The ideal candidate will bring at least one year of experience in hotels as a Front Desk Agent and/o r PBX Operator. Must have excellent communication and organizational skills, as well as attention to detail.

Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. This includes nights and weekends.

Main areas of responsibility:

Greet customers immediately with a friendly and sincere welcome. Use a positive and clear speaking voice, listen to understand requests, respond with appropriate action and provide accurate information such as outlet hours and local attractions.
Complete the registration process by inputting and retrieving information with routine difficulty from a computer system, confirming pertinent information including number of guests and room rate. Promote DoubleTree by Hilton marketing programs. Make appropriate selection of rooms based on guest needs. Code electronic keys. Non-verbally confirm the room number and rate. Provide welcome folders containing room keys, certificates, coupons and other items as appropriate. Requires continual standing and movement throughout front office area.
Verify and imprint credit cards for authorization using electronic acceptance methods. Handle cash, make change and balance an assigned house bank. Accept and record vouchers, travelers’ checks, and other forms of payment. Perform accurate, moderately complex arithmetic functions using a calculator. Post charges to guest rooms and house accounts using the computer.
Promptly answer the telephone using positive and clear English communication. Input messages into the computer. Retrieve messages and communicate the content to the guest. Retrieve mail, small packages and facsimiles for customers as requested.
Close guest accounts at time of check out and ascertain satisfaction. In the event of dissatisfaction, research and attempt to resolve problem within established guidelines; may include turning problem over to a supervisor.
Field guest complaints, conducting thorough research to develop the most effective solutions and resolve complications such as location changes or credit issues. Listen and extend assistance in order to resolve problems such as price conflicts, insufficient heating or air conditioning, etc. Remain calm and alert especially during emergency situations and heavy hotel activity. Plan and implement detailed steps by using experienced judgment and discretion.
Promptly answer telephone calls using the required hotel script, speaking English, greet callers with a positive and clear voice. Listen to ascertain the correct extension. Reading and using a moderately complex computer console, direct calls to appropriate line; forwarding calls to voice mail. Requires sitting in a confined space for long periods of time to continuously perform essential functions.
Transcribe complete messages and repeat information to verify accuracy. Input and retrieve messages from the computer as requested. Read and verbally recite exact messages for guests. May include recording reservations during special hotel programs.
Receive wake up call information, input cautiously into the automated wake-up system and verbally confirm time to guest. Provide personal wake ups when required on time.
Complete the whiteboard for all crew arrivals and departures daily in accordance with the crew sheets. Advise supervisor of any discrepancies or concerns. Make any necessary changes to the white board if crew delays are communicated to the hotel. All crew members must have their message light indicated in this case.
Act as liaison between guest and security, guest services or engineering. Provide timely information via paging system and two way radios to employees in response to emergencies and guest requests such as plumbing problems, airport shuttle service, etc.
Briefly answer basic inquiries, such as time, extension numbers, outlets hours. To be versed in surrounding areas/freeway to enable directions to be given when required.
Remain calm and polite especially during emergency situations and/or heavy hotel activity. Listen to details to identify the nature of problem and respond appropriately in accordance with established procedures. Initiate emergency response as necessary and legibly document pertinent details. Resolve complications and complaints such as missed wake up calls or missed messages using previous experience and good judgment.
Must consistently exhibit a professional demeanor in all interactions with guests, team members, and all hotel ownership and/or management, and its representatives.
Must be able to consistently report to work on time as scheduled, and be prepared to work as scheduled.
