Executive Assistant
Reports To: Publisher & CEO
Location: Downtown Los Angeles, CA (In-Office, Monday–Friday)
Employment Type: Full-Time, Non-Exempt (Hourly)
Compensation: $40,000–$50,000 annually, depending on experience
Position Overview
California Leaders is seeking a highly organized, proactive, creative, and resourceful Executive Assistant to serve as the right hand to the Publisher & CEO. This is far more than a traditional administrative role. The Executive Assistant is a trusted partner responsible for supporting executive operations while helping coordinate editorial production, content creation, communications, social media, events, and day-to-day business activities.
This individual will play a vital role in ensuring the Publisher & CEO can remain focused on leadership, strategic partnerships, business development, and growing the California Leaders brand.
The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, communicates professionally with executives and community leaders, and enjoys wearing multiple hats. The successful candidate will have a front-row seat to the people, partnerships, and stories shaping California’s business and civic landscape while developing skills that extend far beyond a traditional executive assistant role.
Primary ResponsibilitiesExecutive Support & Operations
- Manage the Publisher & CEO’s calendar, appointments, meetings, and travel.
- Coordinate executive scheduling and prioritize competing demands.
- Prepare meeting agendas, briefing materials, presentations, and follow-up action items.
- Manage executive correspondence, emails, and communications.
- Organize executive files, records, and confidential documents.
- Track projects, priorities, and deadlines to ensure timely execution.
- Serve as a trusted liaison between the Publisher & CEO and internal and external stakeholders.
- Anticipate executive needs and proactively solve problems before they arise.
- Exercise the highest level of professionalism, discretion, and confidentiality.
Editorial & Production Coordination
- Serve as the primary liaison between the Publisher & CEO and the Editor-in-Chief.
- Manage editorial calendars and magazine production timelines.
- Track article progress, interviews, approvals, and publication deadlines.
- Coordinate contributor communications, biographies, headshots, and supporting materials.
- Monitor project management systems to ensure deliverables remain on schedule.
- Support podcast production schedules and editorial workflow.
Content Development & Communications
- Draft LinkedIn posts, newsletters, articles, press releases, event recaps, captions, and executive communications.
- Assist with podcast preparation, guest communication, interview outlines, and show notes.
- Help maintain the California Leaders website and newsroom content.
- Ensure consistency in brand voice and messaging across all communication channels.
- Coordinate communications with writers, designers, editors, photographers, videographers, and vendors.
Social Media & Digital Marketing
- Create, schedule, and publish content across LinkedIn, Instagram, Facebook, YouTube, and other social platforms.
- Develop content calendars and assist with marketing campaigns.
- Monitor engagement and help manage online communities.
- Repurpose interviews, podcasts, articles, and events into engaging digital content.
- Support the growth of California Leaders’ online presence through strategic storytelling.
Photography, Video & Graphic Design
- Capture behind-the-scenes photos and short-form videos during interviews, meetings, and events.
- Coordinate photographers and videographers for editorial and event coverage.
- Design graphics, presentations, promotional materials, and social media assets using Canva and other creative tools.
- Organize and maintain the company’s digital photo and video library.
Event Planning & Coordination
- Assist with planning and executing magazine launch events, leadership workshops, networking receptions, podcast recordings, and community events.
- Coordinate speakers, sponsors, vendors, guests, photographers, and venues.
- Prepare event timelines, registration materials, and logistical plans.
- Provide on-site event support before, during, and after events.
- Capture content and assist with post-event communications and marketing.
Relationship Management
- Communicate professionally with sponsors, advertisers, featured leaders, elected officials, business executives, nonprofit leaders, podcast guests, and strategic partners.
- Schedule meetings and coordinate follow-up communications.
- Support business development efforts by maintaining positive relationships and ensuring exceptional stakeholder experiences.
Office Administration
- Help maintain an organized, professional, and welcoming office environment.
- Coordinate office supplies, vendors, deliveries, and administrative needs.
- Assist with invoices, expense reports, and administrative documentation.
- Support day-to-day operational needs as California Leaders continues to grow.
Qualifications
- Bachelor’s degree preferred or equivalent professional experience.
- Two or more years of experience supporting executives, communications, marketing, media, or administrative operations.
- Exceptional written and verbal communication skills.
- Outstanding organizational and project management abilities.
- Strong attention to detail with the ability to manage multiple priorities.
- Professional presence and excellent interpersonal skills.
- Self-motivated with the ability to anticipate needs and work independently.
- Comfortable working occasional evenings and weekends for events as needed.
- Valid driver’s license and reliable transportation preferred.

Pay: $40,000.00 - $50,000.00 per year
