Full Job Description

Materials Management Coordinator

436 Beverly Hills Surgery Center

The Materials Management Coordinator is responsible for planning, directing, and overseeing all aspects of the ambulatory surgery center's materials and supply chain operations. This position ensures the timely procurement, inventory control, storage, distribution, and cost-effective utilization of medical supplies, surgical instruments, equipment, pharmaceuticals (as applicable), and office supplies. The Materials Coordinator collaborates with clinical and administrative leadership to support exceptional patient care while maintaining regulatory compliance, operational efficiency, and financial stewardship.

Essential Duties and Responsibilities:

Supply Chain & Inventory Management

Oversee all aspects of inventory management to ensure uninterrupted availability of supplies, implants, instruments, and equipment required for daily surgical procedures.
Develop, implement, and maintain effective inventory control systems, par levels, and tracking processes.
Monitor inventory levels, usage patterns, and product utilization to minimize shortages, waste, and excess inventory.
Conduct and coordinate routine cycle counts, physical inventories, and inventory audits.
Receive, inspect, verify, stock, and distribute supplies throughout the facility.
Verify incoming shipments for accuracy, damage, lot numbers, and expiration dates.
Monitor and remove expired or obsolete inventory and coordinate product recalls.
Maintain accurate materials management records, inventory databases, and storage locations.
Ensure appropriate storage conditions and inventory rotation practices consistent with infection prevention and regulatory standards.

Procurement & Vendor Management

Manage purchasing activities for medical, surgical, office, and facility supplies and equipment.
Source products from approved vendors while negotiating competitive pricing, quality, and service.
Develop and maintain strong relationships with vendors, distributors, and manufacturers.
Manage supplier contracts and purchasing agreements in collaboration with administration.
Maximize purchasing value through participation with the organization's Group Purchasing Organization (GPO).
Evaluate new products and coordinate product trials with physicians, nursing leadership, and clinical staff.
Monitor vendor performance, delivery timelines, backorders, and product substitutions.

Financial Management

Monitor supply expenses and identify opportunities for cost reduction without compromising patient care.
Analyze purchasing trends, utilization reports, and inventory metrics to improve operational efficiency.
Collaborate with Accounts Payable to reconcile purchase orders, packing slips, and invoices.
Work with billing and coding personnel to ensure billable implants and supplies are appropriately documented and charged.
Participate in capital equipment planning and replacement initiatives.

Operations & Regulatory Compliance

Develop, implement, and maintain materials management policies and procedures.
Coordinate equipment repairs, preventive maintenance, and service contracts with vendors and biomedical service providers.
Maintain documentation related to recalls, warranties, maintenance records, and regulatory inspections.
Promote a safe work environment by adhering to infection prevention, hazardous materials handling, and workplace safety standards.
Participate in quality improvement initiatives and operational performance improvement projects.

Qualifications

Required

High school diploma or equivalent.
Minimum of three (3) years of experience in healthcare materials management, purchasing, inventory control, or supply chain operations.
Experience in an ambulatory surgery center, hospital operating room, or procedural setting.
Knowledge of medical and surgical supplies, inventory management systems, and purchasing practices.
Proficiency with Microsoft Office and computerized inventory management systems; experience with Envi software preferred.
Strong organizational, analytical, and problem-solving skills.
Excellent communication and interpersonal skills.
Ability to lift up to 50 pounds and perform routine stocking and inventory duties.

Preferred

Associate's or Bachelor's degree in Supply Chain Management, Business Administration, Healthcare Administration, or a related field.
Experience with ERP, materials management, or electronic purchasing systems.
Knowledge of accreditation standards and healthcare regulatory requirements.

Physical Requirements

Frequently stand, walk, bend, reach, and lift supplies weighing up to 50 pounds.
Push and pull carts containing medical supplies and equipment.
Work in storage rooms, loading areas, and clinical environments.
Ability to perform repetitive inventory and stocking tasks.

Pay: $30.00 - $40.00 per hour
