Senior Grants Specialist

Reporting to the Vice President of Grants Management, the Senior Grants Specialist is responsible for managing a portfolio of public and private grants activities for the organization. This position works also with the Finance Department and Program leadership to manage grant performance and to ensure that grants are maximized.

ESSENTIAL FUNCTIONS INCLUDE, but are not limited to the following:

Directly manage the monthly logistics, preparation, and submission of a portfolio of grant invoices and reports as well as periodic reports for a variety of funder.
Engage regularly with program leadership to manage grant budgets including projections
Ensure all grant invoicing is valid within contract guidelines and that reimbursement requests are booked accurately in the accounting system.
Resolve issues surrounding grant invoices including disallowed expenses or technical issues by working collaboratively with other staff members and funders to ensure positive outcomes and prevent delays in billing.
Perform periodic reconciliations of general ledger accounts and prior months to ensure that all applicable expenses are captured in monthly billing.
Prepare grant budgets and budget modifications.
Track grant budgets monthly and analyze data to ensure funder compliance and maximum utilization; recommend strategies to ensure spend-down and/or major variances.
Prepare grant variance and other ad hoc reports for agency leadership.
Assist with fiscal monitoring, as well as the annual audit.
Assist with other finance and accounting projects as required.

PHYSICAL AND MENTAL REQUIREMENTS AND WORK ENVIRONMENT:

· Work indoors in temperature controlled environment and occasionally exposed to outdoor weather and driving conditions. The noise level in the work environment is usually moderate.

· Stand and sit for long periods of time; move and walk to various locations; climb, stoop, kneel, reach, pull, push, bend, twist, and occasionally lift and or move objects. Use hands to finger, handle or feel.

· See, hear and speak clearly in order to give and receive information and instructions.

· Ability to interact with other employees, clients, customers and members of the public.

· Ability to respond effectively to sensitive inquiries or complaints.

· Ability to work effectively under time constraints and stressful work conditions, prioritize work, multi-task, and adapt to changing work demands.

· Complex reading and writing skills, memorization skills, analytical/perceptive/comprehensive capabilities, judgment and decision-making capability.

· Perform arithmetic operations.

· Transcribe, enter, and post data.

· High level of concentration and attention to detail for extended periods of time.

· Requires use a computer keyboard for long periods of time.

· Able to travel to off-site meetings.

· Able to work occasional evenings.

KNOWLEDGE, SKILLS AND ABILITIES:

· Excellent organizational, interpersonal and communications skills.

· Advanced skills in Microsoft Windows, Microsoft Office (Word and Excel), Financial Edge and payroll database. ADP experience strongly preferred.

· Understanding of allocation methodology.

· Knowledge of GAAP and OMB Circular guidelines.

· Knowledge of the full process of government contract billing.

EDUCATION, TRAINING AND EXPERIENCE:

· Bachelor’s Degree in Accounting or related field preferred.

· 3 - 7 years of experience in government grants management or related financial field. However, applicants with solid general accounting experience will be considered.

· Experience working with a complex chart of accounts preferred.

· Experience with Uniform Guidance audits and audit preferred.

· Strong general accounting and government grant experience preferred.

· High School Diploma or GED required.
