Role Overview

We are seeking a highly organized and detail-oriented P&C Administrative Support Coordinator to provide day-to-day administrative support for our People & Culture team within a fast-paced distribution center environment. This role focuses on maintaining employee records, processing HR documentation, updating HR systems, coordinating onboarding and offboarding, preparing reports, and responding to routine employee requests.

The P&C Administrative Support Coordinator will work closely with People & Culture, Talent Acquisition, Payroll, Benefits, and Operations to ensure employee information is accurate, documents are processed on time, and administrative processes run smoothly.

The ideal candidate has strong administrative experience, excellent attention to detail, and the ability to manage a high volume of requests while maintaining confidentiality and providing professional customer service.

Key Responsibilities

Provide daily administrative support to the People & Culture team.
Serve as a point of contact for routine employee questions and direct more complex matters to the appropriate P&C team member.
Prepare, process, scan, file, and maintain employee records and HR documentation.
Enter and update employee information in HR systems, ensuring accuracy and timely completion.
Coordinate administrative tasks related to onboarding, orientation, transfers, promotions, status changes, and separations.
Assist with new hire paperwork, I-9 verification, E-Verify, and personnel file maintenance.
Track pending documents, employee requests, deadlines, and required follow-ups.
Prepare routine reports, spreadsheets, audits, letters, and employee notices.
Support benefits, leave of absence, workers’ compensation, and employee relations processes by collecting and organizing required documentation.
Assist with scheduling meetings, interviews, orientations, training sessions, and employee appointments.
Distribute company communications, policies, forms, and employee notices in English and Spanish as needed.
Respond to emails, phone calls, and walk-up requests professionally and promptly.
Maintain office supplies, forms, shared files, and other P&C administrative materials.
Protect sensitive employee information and maintain confidentiality at all times.
Assist with P&C projects, audits, and other administrative duties as assigned.

Qualifications

2–3+ years of administrative support experience; HR or People & Culture experience preferred.
Experience supporting a warehouse, distribution, manufacturing, or high-volume hourly workforce preferred.
Bilingual in English and Spanish required.
Strong organizational and time-management skills with excellent attention to detail.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Strong written and verbal communication skills in both English and Spanish.
Proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
Experience using HRIS, payroll, or applicant tracking systems preferred; ADP Workforce Now experience is a plus.
Familiarity with onboarding documentation, employee records, I-9s, and E-Verify preferred.
Strong data-entry, filing, recordkeeping, and document-management skills.
Ability to provide professional and responsive customer service to employees and leaders.
Ability to handle confidential information with professionalism and discretion.
Ability to work independently while collaborating effectively with multiple teams.
Flexibility to support different shifts and occasional weekends based on business needs.
