Full Job Description

About the Role

We are seeking an Administrative & Finance Coordinator to support day-to-day administrative, scheduling, financial tracking, and invoice review tasks for a multi-partner program. This role requires strong attention to detail, excellent communication skills, and comfort working with spreadsheets, documentation, and multiple stakeholders.

Key ResponsibilitiesAdministrative Support

Perform clerical and data-entry tasks.
Coordinate meetings, manage calendars, and support scheduling needs.
Communicate with internal teams and external partners via phone and email.
Prepare reports, presentations, and administrative documents as needed.

Invoice & Financial Support

Review invoices for accuracy and completeness.
Request corrections or additional documentation from partners when needed.
Submit invoices for internal approval and track payment status.
Maintain an existing Excel-based budget tracking tool with monthly updates.
Prepare basic financial summaries and expenditure reports.
Assist with budget monitoring and documentation for internal reviews.

Reporting & Contract Support

Compile monthly program updates and financial summaries.
Assist with periodic reporting requirements and documentation.
Support updates to partner agreements and administrative forms.

Qualifications

Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
Experience with basic accounting, invoicing, or financial tracking is preferred.
Strong attention to detail and accuracy in reviewing documents.
Excellent written and verbal communication skills.
Ability to stay organized and manage multiple deadlines.

Ideal Candidate

1-2 years in an Accounts Payable (AP) position.
Knowledge of using eCaps ERP or similar systems.
Ability to maintain spreadsheets using formulas, pivot tables, etc.

Pay: $20.00 - $23.00 per hour

Expected hours: No more than 40 per week

Work Location: Hybrid remote in Los Angeles, CA 90007
