Job Description
BLVD Electric Inc. is looking for an organized, proactive, and detail-oriented Executive Assistant to the VP / Construction Project Coordinator to support our Vice President with project coordination, field follow-up, general contractor communication, documentation, closeout tracking, and day-to-day operational priorities.
With over 150 people, BLVD Electric Inc. is a leading commercial electrical contractor working across California. Our teams are active in commercial buildings, ground-up construction, tenant improvements, hospitality, retail, fitness, multifamily, infrastructure, power distribution, lighting, controls, data pathways, service upgrades, underground, rough-in, gear, panels, equipment connections, and large-scale electrical installations.
This role is ideal for someone with construction experience who understands the flow of project paperwork, communication, and follow-up, but who is also comfortable working in an executive support capacity. The right candidate will help the VP stay organized, track open items, follow up with internal teams and external contacts, and assist in keeping projects moving toward completion and closeout.
This is not a basic administrative role, and it is also not a traditional full project management role. We need someone who can support the VP across multiple areas, including project coordination, documentation, follow-ups, GC communication, closeout tracking, internal team coordination, and executive-level organization.
The right candidate should be able to look at an email, drawing note, submittal comment, GC request, or project update and help determine what needs to happen next, who needs to respond, what information is missing, and what needs to be tracked so it does not fall through the cracks.
Position Overview
The VP is responsible for supporting project management, maintaining strong GC relationships, assisting with field operations, helping resolve project issues, and making sure projects are properly executed and closed out.
This position will provide direct support to the VP by helping manage follow-ups, organize project information, prepare communication, coordinate with project managers and field leadership, and support the constant flow of project documentation.
The ideal candidate should understand construction project flow, including RFIs, submittals, change orders, project correspondence, punch list items, closeout documentation, and communication with general contractors, architects, engineers, field personnel, and internal teams.
What You Will Do
Responsibilities include, but are not limited to:
- Provide direct administrative and project coordination support to the VP.
- Help track open project items, pending follow-ups, deadlines, and required responses.
- Review project emails and help identify action items, missing information, and next steps.
- Coordinate with project managers, assistant project managers, field supervisors, foremen, general contractors, architects, engineers, and internal staff.
- Assist with RFIs, submittals, change orders, closeout documents, project correspondence, and project logs.
- Help organize and maintain project documentation so information is current, accurate, and easy to locate.
- Assist with preparing meeting notes, action lists, follow-up emails, and project status updates.
- Track closeout items, warranty items, punch list follow-ups, outstanding paperwork, and final project completion items.
- Help prepare change order descriptions, backup documentation, and basic supporting information.
- Review drawings, specifications, and project documents at a basic level to help identify coordination items.
- Support communication between the office and field to help keep project execution organized.
- Help coordinate with project management, scheduling, field operations, and accounting when needed.
- Help ensure important project items do not fall through the cracks.
What We Are Looking For
We are looking for someone who:
- Has prior construction experience and understands the flow of a construction project.
- Is highly organized and able to manage multiple follow-ups at once.
- Can support an executive while also understanding project management needs.
- Is comfortable communicating with GCs, project managers, field teams, and office staff.
- Can take rough direction and turn it into a clear email, task list, tracking log, or follow-up item.
- Understands RFIs, submittals, change orders, drawings, specifications, project correspondence, and closeout documents.
- Has strong written communication skills and can draft clean, professional emails.
- Is proactive and does not need to be constantly reminded to follow up.
- Can recognize when something may have a cost impact, schedule impact, field issue, or documentation requirement.
- Is detail-oriented, reliable, professional, and able to work in a fast-paced environment.
- Can manage confidential information and executive-level communication with professionalism.
Requirements
- Prior construction experience is required.
- Prior experience as a Project Coordinator, Executive Assistant in construction, Construction Administrator, Assistant Project Manager, Project Engineer, or similar role is preferred.
- Electrical construction experience is strongly preferred.
- Experience with RFIs, submittals, change orders, project logs, project correspondence, and closeout documents preferred.
- Ability to read drawings and specifications at a basic level.
- Strong computer skills, including Outlook, Excel, Word, Bluebeam/Adobe PDF, and project document management systems.
- Strong written and verbal communication skills.
- Must be organized, dependable, and able to manage follow-ups independently.
- Must be comfortable working in office and supporting multiple departments when needed.
Preferred Experience
- Electrical subcontractor experience.
- Commercial tenant improvement or retail construction experience.
- Experience coordinating lighting, switchgear, low voltage, fire alarm, controls, or electrical submittals.
- Familiarity with Procore, Bluebeam, PlanGrid, Accubid, or similar construction software.
- Experience working with general contractors, architects, engineers, and field teams.
- Experience supporting executives, senior project managers, operations managers, or construction leadership.

Pay
Pay will be reviewed based on construction experience, electrical subcontractor experience, project coordination ability, executive support experience, communication skills, software knowledge, organization, reliability, and the level of responsibility the candidate is ready to take on.

Higher compensation may be considered for candidates with strong electrical construction experience, executive support experience, project coordination background, and the ability to manage a high volume of follow-ups with limited supervision.
