Overview
We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This role offers an exciting opportunity to combine essential bookkeeping responsibilities with vital administrative support, ensuring smooth office operations and accurate financial management. Responsibilities

Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing and expense tracking
Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Support office management by organizing files, maintaining records, and overseeing general clerical duties like data entry and proofreading
Assist with calendar management and scheduling appointments or meetings using Google Workspace or Microsoft Office tools
Provide exceptional customer support via phone, email, or in person, ensuring positive interactions and prompt responses
Maintain organized filing systems both physically and digitally to ensure easy retrieval of documents
Support personal assistant tasks such as calendar updates, appointment reminders, and light travel arrangements

Requirements

Proven experience with office administration, clerical work, or customer service roles in a professional setting
Proficiency in QuickBooks for bookkeeping tasks and strong computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Bilingual abilities are a plus to support diverse client interactions
Experience with multi-line phone systems and phone etiquette to handle incoming calls professionally
Strong attention to detail for proofreading, data entry accuracy, and filing responsibilities
Previous experience as a dental or medical receptionist is advantageous but not required; a background in office management or personal assistant roles is preferred
Demonstrated ability to handle confidential information discreetly while providing outstanding customer support
