Full Job Description

Key Responsibilities:

The Administrative Support Associate performs a variety of administrative and clerical tasks for our campus. You are the first point of contact for our college. Your duties include offering administrative support across the organization. You will welcome guests and greet people who visit the campus. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Job requirements include, but are not limited to, the following:

● Greet and welcome guests as soon as they arrive at the office

● Greeting and Checking in Students for Campus Tours, Orientation, Etc.

● Answer, screen, and forward incoming phone calls

● Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)

● Provide basic and accurate information in-person and via phone/email

● Receive, sort, and distribute daily mail/deliveries

● Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

● Utilize Phone Scripts to effectively communicate both over the phone and in person.

● Scheduling and Rescheduling Appointments.

● Proctor Assessments

● Provides Administrative Support to Directors and Admissions Team

● Tracks and Analyzes Reporting

● Assists Team as Needed Update calendars and schedule meetings

● Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing

Knowledge, Skills, and Abilities Required:

● Proven work experience as a Receptionist, Front Office Representative, or similar role

● Proficiency in Microsoft Office Suite and Google +

● Hands-on experience with office equipment (e.g.fax machines and printers)

● Professional attitude and appearance

● Solid written and verbal communication skills

● Ability to be resourceful and proactive when issues arise

● Excellent organizational skills

● Multitasking and time-management skills, with the ability to prioritize tasks

● Customer service attitude

Reports To: Student Services Manager

Customer Service:

To be successful you should have a pleasant personality, as this is also a customer service role. Multitasking and stress

management skills are essential for this position. This role may require working in shifts, so flexibility is a plus.

Ultimately, a receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and

executes all administrative tasks to the highest quality standards.

Knowledge, Skills, and Abilities Required:

● Ability to evaluate, design, and implement curriculum, testing, and/or teaching methodologies.

● Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.

● Ability to work effectively with diverse populations.

● Ability to communicate effectively, both orally and in writing.

● Knowledge of teaching methods, curriculum, and education programs.

● Teaching and facilitation skills.

● Ability to teach and control the behavior of students.

● Knowledge of academic and/or vocational education curricula.

● Knowledge of and ability to apply relevant current education methodologies and techniques.

● Ability to gather data, compile information, and prepare reports.

Physical Requirements

● May be susceptible to eyestrain, back discomfort, and hand/wrist problems due to long periods working on a computer;

● Occasional stress may occur from volume and deadlines;

● Demands normal manual dexterity and visual and auditory acuity;

● Must be mobile throughout the campus;

● May be some walking, standing, bending, or carrying light items.

Experience/Education:

Organization and communication skills are required to be successful, as is the ability to be flexible and multitask.

Attention to detail is essential. 1-3 years of related experience is required. College degree preferred.
