Job Summary
The Boys & Girls Club of Grand Rapids Youth Commonwealth is an after-school program that has an opening for a Part-Time Member Services Coordinator at one of our area clubs!

Our current schedule for this role is as followed:

School Year (August-May): Monday-Thursday 2:30pm-7:30pm & Friday's 2:30pm-6pm

Summer (June-August): Monday-Thursday 10:45am-5:15pm

The Member Services Coordinator serves as the welcoming face of the Boys & Girls Club of Grand Rapids. This person ensures a smooth, safe, and engaging front desk environment by greeting families, managing member data and check-in/out procedures, answering phones, and helping maintain an orderly and secure front entrance area. As the hub of communication and coordination, this role plays a key part in creating a positive experience for youth, families, and staff.

KEY ROLES (Essential Job Responsibilities):

Greet members, families, and visitors in a professional, welcoming manner
Check members in and out using Trax Attendance Manager;
Ensure safety of the Club by monitoring everyone who enters or exits the building
Maintain a calm, controlled front desk area
Communicate clearly with parents/caregivers
Serve as a role model for youth, demonstrating professionalism and care
Answer phones and return voicemails promptly and courteously
Review membership applications for completeness and accuracy
Enter membership data into Trax, and help to ensure the data system is up to date
Collect and receipt $5 membership fees; store securely and maintain accurate logs
Schedule and track parent/caregiver orientations within 24 hours of receiving a new application
Maintain and update No Photo and Medical Needs lists; share with leadership weekly
Maintain secure, organized member files and locked storage systems
Uphold SEL (social-emotional learning) practices to ensure a calm, respectful atmosphere
Provide de-escalation when needed and complete additional training as assigned
Keep the front area clean and organized; monitor belongings, cell phones, and personal items
Supervise youth behavior in the lobby and entry area to maintain a safe, controlled space
Participate in staff meetings and trainings
Assist with special events, Club tours, and orientation sessions
May be required to drive a Club vehicle
Other duties as assigned

RELATIONSHIPS:

Internal: Maintains close, daily contact with Club staff and volunteers, Club members, and supervisor to receive/provide information, explain guidelines/instructions; instruct and advise/counsel.

External: Maintains contact with external community groups, schools, members’ parents and others to promote the success of the Club and organization.

SKILLS/KNOWLEDGE REQUIRED:

High School Diploma or GED Equivalent
Experience working with youth ages 6-18
Strong interpersonal skills with adults and children
Comfortable learning and using technology systems for data entry
Ability to stay calm and organized in a busy, high-energy environment
Professional, friendly communication style with families and staff
CPR and First Aid Certification (or ability to obtain)
Valid State ID required

Must be able to stand for extended periods of time. Specific vision abilities required by this job include close vision and the ability to adjust focus. Hand-eye coordination is necessary to perform certain duties. The noise level in the work environment can range from quiet to moderate in office setting to moderate and usually loud in recreation and play settings when children are present.

All employees working directly with children at all Boys & Girls Club of Grand Rapids Youth Commonwealth locations may be required to work outdoors in various types of weather conditions.
