Front Desk Manager

Quantum Wellness – Lubbock, TX
Job Type: Full-time, salaried
Schedule: Four days per week, approximately 31.5 hours

About the Position

Quantum Wellness is seeking an organized, dependable, and personable Front Desk Manager to oversee the daily operations of our front office.

This is a hands-on leadership position responsible for managing the front desk staff, coordinating doctors’ schedules, overseeing patient billing and payments, and ensuring every patient receives a professional and welcoming experience.

The ideal candidate will be comfortable taking ownership of the front desk, leading a team, solving problems, and keeping a busy clinic organized. This position requires strong communication, attention to detail, and the ability to balance excellent patient service with administrative responsibilities.

Primary Responsibilities

Support the front desk staff
Ensure appropriate front desk coverage during clinic hours
Coordinate doctors’ schedules and maintain an organized appointment calendar
Schedule, confirm, reschedule, and cancel patient appointments
Answer incoming calls and respond to patient questions
Welcome patients and manage the check-in and checkout process
Collect patient payments and maintain accurate billing records
Review outstanding patient balances and follow up when necessary
Ensure payments, treatment packages, account credits, and invoices are entered correctly
Maintain accurate patient information and documentation
Help resolve scheduling, billing, and patient-service concerns
Communicate schedule changes and relevant patient information to providers
Maintain patient confidentiality and follow clinic policies
Identify opportunities to improve front desk workflows
Assist clinic leadership with administrative projects as needed

Qualifications

Previous front desk, administrative, or customer-service experience
Experience in a medical, chiropractic, wellness, dental, or similar office is strongly preferred
Previous leadership or supervisory experience is preferred
Experience with patient scheduling, billing, and collecting payments
Strong organizational and time-management skills
Excellent written and verbal communication
Comfortable learning scheduling, billing, and patient-management software
Ability to manage competing priorities in a busy environment
Professional, dependable, and detail-oriented
Able to handle sensitive patient and employee information appropriately

Compensation and Benefits

This position offers an annual salary of ~$33,000 for a regular schedule averaging approximately 31.5 hours per week.
