Client Care Coordinator (Front Desk) – Pediatric Functional Neurology Clinic

About Arise Functional Health
We help kids with autism and ADHD become more independent and confident, so their families can finally breathe again. We’re a low-volume, high-touch functional neurology practice that takes time with each family and focuses on real change, not quick fixes.

We’re growing and looking for a front desk A-player who wants to be a key part of that mission, not “just a receptionist.”

The Role

You are the first and last impression for every family that walks in or calls us. Your job is to make them feel seen and supported, while also protecting the schedule, the standards, and the business.

Main responsibilities:

Greet families warmly and consistently by name
Answer incoming calls, return voicemails, and route questions to the right team member
Schedule, confirm, and reschedule appointments with strong attention to detail
Check patients in and out, review recommended care plans, and clearly explain next steps
Confidently discuss and collect program payments (often multi-thousand-dollar plans)
Run cards, manage payment plans, and reconcile daily collections
Maintain a clean, welcoming, sensory-considerate front office (lobby, bathrooms, front desk)
Protect the providers’ time by enforcing scheduling rules and office policies
Answer common questions and professionally defer clinical or detailed questions to the appropriate provider
Document all interactions accurately in our practice software (we use Go High Level and a practice management system)
Support simple office tasks: scanning, printing, filing, supplies, reminder messages, etc.

You’re a builder: you like improving checklists, fixing broken processes, and taking ownership instead of waiting to be told what to do

This Role Is Not For You If:

You avoid difficult conversations or can’t say “no” and stick to it
Talking about or collecting larger sums of money makes you shut down
You get easily overwhelmed by phones, people, and multitasking
You see this as “just a job” and aren’t interested in contributing ideas or growing with the practice
You dislike cleaning or feel that tidying and stocking are “beneath you”

Requirements

1+ year in a front desk, customer service, or medical office role (pediatric or therapy setting is a plus)
Strong verbal and written communication skills
Comfortable with basic tech: email, texting, EHR / scheduling systems, payment processing
Able to maintain composure and compassion with families under stress
Willing and able to follow scripts and office processes, and improve them once you’ve mastered them
High level of integrity and confidentiality working with sensitive health and family information

Compensation:

$19–$24 per hour, depending on experience and level of ownership
Part-time or full-time available
This role can start part-time and grow to full-time as we add more families

We pay above typical front desk rates because we expect more than ‘just answering phones.’ If you want to own results, not just tasks, you’ll fit here.

Schedule:

Standard: Monday–Thursday plus Saturday 9 am–1 pm
Saturday is required (families love weekend options)
Exact hours can be discussed for part-time, but must include Saturdays

What Success Looks Like in Your First 90 Days

Front office is consistently clean, calm, and welcoming without being reminded
Phones are answered or returned promptly, with clear notes for the team
Payments and plans are explained confidently and collected with minimal errors
Families comment on how supported and cared for they feel at the front desk
The team feels more organized and supported because you own the front
