Full Job Description

Get Simple Box is hiring an Administrative Assistant to help keep our billing, payments, records, scheduling, and office operations running smoothly.

This is a full-time, in-person position at our Lynden, WA office.

This is not just a data-entry job.

A major part of this role is making sure payments get processed, completed jobs get invoiced, overdue accounts get followed up on, deposits get prepared, employee hours are accurate, and our systems stay organized.

You'll work in QuickBooks Online, our CRM, scheduling software, inventory software, and Google Workspace. You don't need to know every system already. You do need to be comfortable learning software, following processes, and figuring things out when something doesn't look right.

You do not need to be an accountant. You do need to be someone who is comfortable with numbers, learns systems quickly, and can be trusted with the details.

What You'll Do...

Billing & Payments:

Invoice completed jobs the same day
Process customer payments
Monitor and follow up on failed or declined payments
Follow up on overdue accounts
Reconcile payments and investigate discrepancies
Prepare daily deposits
Enter bills and receipts
Assist with vendor payments and Bill Pay
Keep QuickBooks, CRM, and other systems accurate and up to date
Review accounts receivable and identify items needing attention

Office & Administrative Support:

Maintain calendars and scheduling information
Verify employee hours and time records
Assist with payroll preparation
Maintain accurate customer and vendor records
Prepare weekly scorecard information
Assist with inventory audits and record keeping
Help with compliance, licensing, insurance, and reporting
Provide phone coverage when needed
Participate in daily team huddles and training

Help Improve the Business:

We're continually improving our systems and processes. We want someone who will:

Notice when something isn't working
Speak up when they find a problem
Suggest better ways to do things
Learn new systems and processes
Help keep the office organized
Pitch in with other work when needed

There will occasionally be opportunities to help with things like container prep, yard cleanup, or landscaping. We're a small team, and everyone helps where needed.

If a payment fails, you follow up. If a completed job hasn't been invoiced, you catch it. If something doesn't reconcile, you investigate it.

You notice incorrect amounts, missing information, duplicate entries, and inconsistencies between systems.

You admit mistakes, fix them, learn from them, and work to prevent them from happening again.

You communicate early.
If you're unsure, you ask. If there's a problem, you communicate it rather than hoping someone else notices.

You protect company resources.
You understand that company money, customer information, inventory, equipment, and time all have value.

You keep improving.
You welcome feedback, learn quickly, and look for better ways to do things.
