Full Job Description

About the Center

The Stillaguamish Senior Center is a nonprofit dedicated to supporting older adults in our community through programs, services, and a welcoming place to gather. Our finance team supports the Center's core operations along with affiliated programs including our Thrift Store, grant-funded services, and senior support programs.

Position Summary

We're looking for a detail-oriented Finance Assistant to support the Finance Director in the day-to-day accounting operations of the Center and its affiliated entities. This is a great opportunity for someone who enjoys variety in their work, takes pride in accuracy, and wants to grow their skills as we build out our systems. The right person will help us stay current on payroll, payables, receivables, and reconciliations while learning the broader finance function over time.

Key Responsibilities

Payroll: Own the full payroll function, including journal entries, timesheet approvals, and communication with our ADP payroll processor.
Accounts Receivable: Manage invoicing for the Center's income-producing programs, including FCSP and other programs.
Accounts Payable: Process payments for all vendors of the Center and affiliated entities, including the Thrift Store, and handle MySenior Center reconciliation.
Bank Reconciliations: Reconcile two bank accounts weekly, subject to Finance Director approval.
Retail Accounting: Process and deposit daily cash and donations for the Thrift Store.
Cash Handling: Reconcile Thrift Store Square sales and front-desk cash and checks.
Bank Deposits: Deposit funds from various programs on a weekly basis.
Journal Entries: Record monthly entries and adjusting entries as needed.
Grant Support: Assist with coding invoices for grant reimbursement, with the opportunity to learn grant billing and reporting as our systems develop.
Financial Statement Preparation: Assist in preparing monthly financial statements.
Monthly Tax Payments: Pay monthly retail and gambling taxes and maintain related records.
Managerial Reporting: Maintain the Center's cash flow reconciliation and prepare managerial reports for the Finance Director.
Other duties as assigned.

Qualifications

3yrs Experience with Quickbooks Online
Prior bookkeeping or accounting experience (nonprofit experience a plus).
Familiarity with payroll processing (ADP experience preferred) and accounting software.
Strong attention to detail, accuracy, and organization.
Comfortable handling cash and confidential financial information with integrity.
Able to manage multiple priorities and meet recurring deadlines.
Proficiency with spreadsheets; willingness to learn new systems as we build them.
High school diploma or equivalent required; coursework or a degree in accounting/finance a plus.

Schedule: Flexible.
Pay: $26–$33 per hour, depending on experience.
