The Secretary to the Director of Student Support Services and Educational Services serves in a dual administrative and customer service role within the Central Office. This position has three primary functions:
- Provide comprehensive administrative support to the Director of Student Support Services by coordinating departmental operations, maintaining confidential records, supporting special education compliance requirements, managing budgets and purchasing, and assisting with state and federal reporting.
- Serve as the Central Office Receptionist , welcoming visitors, answering and directing phone calls, managing visitor sign-in procedures, and providing professional, courteous customer service to students, families, staff, and community members.
- Provide general administrative support to the Central Office team by assisting district administrators and office staff with clerical tasks, correspondence, mail distribution, scheduling, records management, district events, and other office functions that contribute to the efficient operation of the Central Office.

Essential Duties and Responsibilities
Administrative Support – Student Support Services
- Coordinate and process special education documentation, including IEPs, REEDs, METs, parent notifications, and compliance-related correspondence.
- Maintain special education records and student data.
- Monitor compliance timelines.
- Assist with MSDS, Medicaid claiming, Count Day, state reporting.
- Maintain department budgets, time sheets, invoices, etc.
- Support Child Find, non-public consultation, threat assessment records.
- Maintain confidential files and required documentation.
- Support curriculum initiatives, assessments, certifications, and district software.
- Manage state assessment and accommodation data (WIDA, Mi-Access and M-Step).
- Coordinate transportation documentation for students attending MISD programs.
- Serve as a liaison with Macomb Intermediate School District, attending meetings and communicating updates with the Director of Student Support Services.
- Support English Language Learner program and reporting.
- Participate in regular meetings to help facilitate district growth.
Central Office Reception
- Serve as the first point of contact for all visitors to the Central Office.
- Answer and direct incoming telephone calls.
- Welcome guests and maintain visitor sign-in procedures.
- Respond to routine inquiries and direct stakeholders to the appropriate staff member.
- Maintain a professional, welcoming reception area.
Central Office Administrative Support
- Sort and distribute district mail.
- Assist Central Office administrators and departments with clerical and administrative tasks.
- Prepare correspondence, forms, reports, and meeting materials.
- Assist with district-wide events and projects.
- Maintain office supplies and support the day-to-day operation of the Central Office.
- Perform other duties as assigned by the Director of Student Support Services and Superintendent.
Qualifications:
- High school diploma required; associate degree or advanced administrative training preferred.
- Experience in school setting, special education support services, or educational office management preferred.
- Strong knowledge of office procedures, recordkeeping, and data management systems.
- Proficiency with Microsoft Office, PowerSchool, and other educational software platforms preferred.
- Ability to maintain strict confidentiality regarding student and employee information.
- Strong organizational, communication, technology and multitasking skills.
- Ability to work independently while managing multiple deadlines and compliance requirements.
