Overview

We are seeking a dynamic and detail-oriented Administrative Assistant / Invoicing Specialist to join our team. This vital role combines administrative support with invoicing responsibilities, ensuring smooth office operations and accurate financial transactions. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to support our office management and client interactions. This position offers an exciting opportunity to contribute to a professional environment where efficiency and customer service are prioritized.

Our office relies on technology and computer applications, and thus technical proficiency is critical for this role. This position is for in-person work only, and currently part-time, although it may evolve into full-time.

Responsibilities

Manage front desk duties, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
Handle all invoicing processes using QuickBooks or similar accounting software, ensuring accuracy and timely billing for clients
Maintain organized filing systems for invoices, receipts, and confidential documents, adhering to data entry and record-keeping standards
Provide exceptional customer service by responding promptly to client inquiries via phone, email, or in person
Support office management tasks such as scheduling appointments, coordinating meetings, and managing calendars
Assist with bookkeeping activities including data entry, expense tracking, and reconciling accounts
Handle confidential information with integrity while maintaining high levels of organization and attention to detail

Experience

Previous office experience in administrative roles or as a personal assistant is highly desirable
Proven experience with QuickBooks or other bookkeeping software is preferred
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with excellent computer literacy skills
Demonstrated ability to manage multi-line phone systems and provide excellent phone etiquette
Experience in clerical tasks such as proofreading, filing, and data entry enhances overall performance in this role
Exceptional organizational skills combined with time management expertise to prioritize tasks efficiently
