Full Job Description

Job Summary

Akxum Property Services is seeking a highly organized, dependable, and professional Construction Office Administrator I to support daily office operations and help keep projects moving smoothly. This role is ideal for someone who is strong with communication, scheduling, customer service, follow-up, and administrative coordination in a fast-paced construction environment.

The Construction Office Administrator I serves as a key point of contact between clients, project managers, and the office. This person helps manage customer intake, schedule site visits, update calendars, communicate project changes, process invoices and change orders, and keep active project information organized and current.

Responsibilities

Answer incoming calls, emails, and customer inquiries in a professional manner
Collect customer contact information including first name, last name, phone number, email address, and project details
Gather clear descriptions of requested work from clients
Schedule site visits and place appointments on the correct project manager calendar
Notify project managers of new appointments and schedule changes
Communicate appointment confirmations, delays, and reschedules to clients
Maintain accurate project notes, schedules, and communication records
Monitor active project status and update schedules as needed
Notify project managers of delays, conflicts, or important updates
Process invoices requested by project managers
Prepare and process change orders
Support daily office workflow and help ensure nothing falls through the cracks
Use Houzz Pro and other office systems to keep project information organized and updated
Perform any other assigned tasks as needed

Qualifications

Experience in office administration, scheduling, customer service, project coordination, or construction administration preferred
Strong phone, email, and written communication skills
Excellent organizational skills and attention to detail
Ability to manage multiple tasks and priorities at once
Professional, dependable, and proactive work style
Comfortable working closely with project managers, clients, and vendors
Must be willing to cross train
Experience with calendars, spreadsheets, invoicing, and office software
Construction industry experience is a plus
Experience with Houzz Pro is a plus, but not required

Schedule Options

Full-Time: Monday through Friday, 7:00 AM to 4:00 PM

Part-Time: Monday through Friday, 7:00 AM to 12:00 PM

Compensation

Starting pay: $17.00 per hour

This position includes a 90-day probation period. Employees who successfully complete the probation period and receive a positive performance review will be considered for a pay increase.
