About Tamarack Trails

Tamarack Trails is one of the most sought-after places to live on Madison's west side, and that's no accident. It's the product of deliberate choices: 320 homes set across 58 acres of green space, an association created in 1974. Residents call it "the Good Life," and they mean it.

The property feels like a small resort, with a clubhouse that hosts concerts, classes, and private events. A swimming pool with lap lanes and water aerobics, tennis and pickleball courts, community garden plots, with quiet walkways connecting all of it. An on-site maintenance team keeps every corner of it cared for year-round, from summer landscaping to winter snow removal.

The role

You run Tamarack Trails day-to-day. The Board sets direction and policy--how the work gets done is your call, and yours to answer for.

Fifty years of care went into making this an award-winning community. Keeping that going matters, but it isn't the whole job. We want someone who sees ways to make the community better, then goes and does it. Sharper grounds, a stronger team, a long-range plan the Board can rely on. Boards rotate and residents move in and move on. The Association Manager is the constant. That's why we hire for judgment and why we give you the chance to build and develop your own team.

Importantly for our vibrant community, you provide consultation and support to our resident-led Board and committees while focusing on problem-solving and communicating with transparency. Since the residents of Tamarack direct major projects and priorities through its Board, committees and working groups, our Association Property Manager needs to have the ability to work and collaborate within this framework as a consultant with a customer-first approach.

We're a small and tight team: you, an Office Manager, and the maintenance and grounds teams. You'll lead from the front and stay close to the work. Working in close partnership with the Board and committees, your recommendations carry weight and your results show up fast.

What you run

The team. Hire, develop, and supervise the maintenance, grounds, and office staff. Design the systems that let a small team work efficiently and take care of its records.
Day-to-day operations. Own the operation end to end: pool and clubhouse, vendor bids and contracts, incidents and damage claims, and the procedures behind all of it.
The funds. Lead the annual budget and the thirty-year capital plan with the Finance Committee. Oversee billing, payables, audits, and insurance coverage. Give the Board monthly reporting it can act on.
The property. Direct maintenance and landscaping across 58 acres and 320 homes, from summer grounds care through winter snow removal.
The residents. Be visible and approachable, respond to requests and complaints with consistency and fairness, and apply policies and bylaws evenhandedly. Enforcement and hospitality are both part of this job. These are your customers and your employers, folks from walks of life such as business, government, academia, medicine and more.
Board operations. Attend Board and committee meetings, send notices, agendas and materials, bring recommendations and information rather than open questions, advise on Association policy, and deliver the monthly Manager's report.Who we're looking for

Who we're looking for

An experienced, collaborative leader who will share our pride of place.

What you need

Three or more years in property or community association management, hospitality/hotel management, real estate or a field close enough that you can show us the parallel.
Five or more years leading people, with real accountability for hiring, performance, and development.
Hands-on budget ownership: annual preparation, administration, and long-range planning.
Project management and strong organizational skills.
Clear, plain writing and speaking. You will explain the same decision to a vendor, the Board, and a frustrated resident in the same week.
Working familiarity with residential maintenance, exterior construction, and landscaping. You don't need to swing the hammer, but you need to know good work from bad.
Discretion with confidential resident and employee information.

What would set you apart

The judgment to be firm and warm at the same time.
A track record of raising a team's standards, not just keeping the schedule filled.
Experience with non-profit boards, on either side of the table.
CMCA, AMS, or PCAM credentials, or the appetite to earn them.
