Position Overview
The Non-Clinical Medical Case Manager provides comprehensive medical case management services in support of Department of Defense (DoD) and Army medical readiness operations. This position functions in a non-direct patient care capacity and is responsible for tracking, coordinating, documenting, and monitoring the medical readiness of assigned Service Members (SMs). The Case Manager ensures compliance with all applicable regulations, policies, timelines, and reporting requirements related to Individual Medical Readiness (IMR), deployment readiness, and medical case resolution.
Primary Duties and Responsibilities
Case Management & Soldier Coordination

Review privacy rights with each Service Member and obtain required Releases of Information (DD Form 2870 or VA-specific ROI) during initial contact to facilitate retrieval of medical records from civilian and VA sources.

Conduct interviews with Soldiers in person or via telephone and document all interactions in eCASE and MEDCHART within required timelines.

Monitor and manage assigned medical cases from initial identification through resolution, return to duty, or administrative separation.

Communicate regularly with Soldiers to gather case information, ensure understanding of medical requirements, and confirm follow-up on provider referrals.

Inform and educate Soldiers on available medical and dental readiness resources and provide education on lifestyle modifications to improve health and readiness.
Medical Readiness Monitoring & Tracking

Review DoD electronic medical systems (including MEDPROS, MEDCHART, eCASE, MODS, MEDPROS readiness portals, and behavioral health systems) prior to Medical Readiness Events (MREs) to identify non-deployable Soldiers.

Monitor medical status, profiles, lab results, referrals, and readiness indicators for all assigned Soldiers.

Review open cases at least every 21 calendar days to ensure proper tracking, communication, and case progression.

Ensure Soldiers with P3 or P4 profiles are promptly referred to the Defense Support Services (DSS) or State Surgeon’s Office for Integrated Disability Evaluation System (IDES) tracking and management.
Documentation, Systems, and Reporting

Maintain accurate, complete, and timely documentation in all required DoD medical and readiness systems.

Label and upload documentation as “MEDPROS Posted” and return original records to the MEDCOM medical records custodian as required.

Update MODS with immunizations, pregnancy status, eye examinations, medical warning tags, and follow-up data from PHAs and SRP events within prescribed timelines.

Generate and deliver required reports, including MEDPROS MRC3/MRC4 reports, within established deadlines.

Generate system-based and ad hoc reports as new DoD systems and reporting tools become available.
Appointment & Referral Coordination

Coordinate and schedule profile examinations, evaluations, audiology exams, and follow-up appointments at designated military or civilian medical facilities.

Review daily automatically generated referral lists following MREs and ensure timely scheduling with Army medical providers.

Coordinate Soldier treatment plans with appropriate medical facilities and Health Service Support (HSS).

Monitor appointment attendance by coordinating with unit leadership and ensuring receipt of follow-up documentation.
Medical Readiness Events & Deployment Support

Attend and provide required services at all Medical Readiness Events (MREs) and Soldier Readiness Processing (SRP) events.

Ensure timely mailing and receipt of medical records to and from mobilization sites no later than 30 calendar days prior to Soldier report dates.

Input individual IMR vouchers or events into the QTC Reserve Health Readiness Program when Soldiers miss MRE or SRP events.

Complete DD Form 771 and input data into the Spectacle Request Transmission System (SRTS) for ordering corrective lenses for deploying units.
Compliance, Policy & Liaison Functions

Adhere to all regulations and policies governing IMR and deployment readiness, including AR 40-501, Army Directive 2018-22, DoDI 1332.45, HQDA EXORD 054-17, and CENTCOM MOD 16.

Ensure full compliance with HIPAA and complete annual HIPAA certification training.

Provide liaison services and coordinate closely with DSS, HSS, unit leadership, and State Surgeon Offices on complex or high-risk cases.

Prepare medical documentation in support of Line of Duty (LOD) investigations in coordination with HSS.

Possess and apply comprehensive knowledge of medical case management operations, procedures, and DoD medical readiness systems.
Required Qualifications

Current, unrestricted Registered Nurse (RN) license in a U.S. state or territory.

Bachelor of Science in Nursing (BSN) required.

Minimum of two (2) years of professional nursing experience, including medical case management, medical readiness, utilization review, or military healthcare support.

Minimum of three (3) years of clinical certification experience is preferred.

Demonstrated experience working with DoD medical systems and readiness processes.
Knowledge, Skills, and Abilities
-
In-depth knowledge of Individual Medical Readiness (IMR) and deployment medical standards.

Proficiency in DoD medical and readiness systems, including MEDPROS, MEDCHART, MODS, eCASE, and MHS GENESIS.

Strong organizational, analytical, and documentation skills.
-
Ability to manage multiple cases independently while meeting strict regulatory timelines.

Excellent communication skills with Soldiers, leadership, and medical stakeholders.
Work Environment

Non-clinical setting supporting military medical readiness operations.

Combination of office, event-based, and potential field support during MREs and SRP events.

May require travel and flexible scheduling based on operational requirements.
